Position Summary
Performs a wide variety of clerical support services to assist the efficient operation of the Grants and Outreach Department and the Director of State/Federal Grants and Outreach while maintaining confidentiality.
Duties and Responsibilities
(These duties and responsibilities are judged to be essential functions in terms of the Americans With Disabilities Act or ADA)
- Process and manage new enrollments for all grant programs and the ELD department using PS OEAA SharePoint Excel and communicating with parents staff and outside district personnel.
- Ensure all Count Day BOY MOY EOY reports documentation and procedures are accurately completed for all department programs to ensure proper reporting for compliance and funding.
- Support all state-mandated WIDA testing activities throughout the year including but not limited to overseeing testing rosters and pre-ID lists test exemptions SRMs with pupil accounting department accommodation test tickets materials score distribution and all stakeholder communication.
- Coordinate Process and monitor all department and grant budget line-items and their associated ASNs with grant-funded expenditures including POs invoices packing slips etc. and communicate the information to the companies Director of State/Federal Grants (DSFG) and the Business office.
- Update all department websites SharePoint sites school messengers and communications to all stakeholders throughout the year.
- Assist monitor and submit all department reports as required for all program compliance staff support and program reviews.
- Support all non-public schools that accept grant funding through orders communication and monitoring of budgets.
- Assist with the ELD program including but not limited to; ELD summer school reporting requirements communicating with ELD teachers and parents software support translation requests oversight of district translation devices and coordinating materials.
- Support all functions of the GSRP program including but not limited to participant registrations required reporting with food services and pupil accounting communicating with the MISD the Macomb Health Dept LARA licensing etc. to ensure all requirements are met for the program and students throughout the year.
- Operate office machines such as photocopiers scanners computers printers adding machines facsimile machines voicemail systems and telephones.
- Communicate with customers employees students and other individuals to answer questions disseminate or explain information and address complaints.

Education:
This position requires high school diploma or equivalent.
Experience:
- One year of related experience providing clerical support in an office setting required two years preferred.
Knowledge:
- Knowledge of basic math required.
- Knowledge of principles and processes for providing customer services required.
- Knowledge of administrative and clerical procedures and systems such as word processing spreadsheets managing files and records designing forms and other office procedures required.
- Knowledge of the structure and content of the English language including the meaning and spelling of words rules of composition and grammar required.
Abilities:
- Ability to be detail-orientated required.
- Ability to troubleshoot issues and problem solve required.
- Ability to read and interpret district policies guidelines and government regulations required.
- Ability and willingness to participate in training classes and meetings related to responsibilities required.
- Ability to write routine reports and correspondence and disseminate information required.
- Ability to interpret a variety of instructions furnished in written oral diagram or schedule form required.
- Ability to multi-task meet deadlines be organized and work in a fast-paced work environment required.
- Ability and willingness to work cooperatively with teachers community students and staff required.
- Ability to read write and communicate effectively in English to perform essential job duties including but not limited to understanding and following safety instructions responding appropriately to emergency situations completing documentation and interacting with English-speaking staff students community and supervisors required.
