Get to Know the Role
Grab is looking for an experienced Estate Office & Operations Manager to join our team. You will manage and optimize Grabs physical workspaces for all Grabbers and also our partners. The scope includes leasing matters routine maintenance and the coordination of support services and resources. This role is crucial in ensuring a conducive and efficient workspace for the business. Reporting to the Head level you will work onsite in our BSD Office. We may ask you for occasional travel to different facility locations across Indonesia.
The Critical Tasks You Will Perform
Facility and Asset Management:
- Review and monitor estate overall data including budget forecasts and utility reports.
- Oversee security and cleaning services across multiple locations.
- Conduct & Review regular stock Opname (inventory) of assets and manage salvage operations.
- Ensure an accurate reporting of facility maintenance activities.
- Do regular Facilities Inspections and Planned-Preventative Maintenance.
- Understand and be able to implement QHSE and ISO.
- Work with multiple departments including Fleet Operations Procurement and Corporate Security to ensure smooth operations.
Financial Management:
- Monitor and review monthly OPEX and CAPEX reports.
- Manage regular monthly TOR (Terms of Reference) based on budget for OPEX (Operational Expenditure) and CAPEX (Capital Expenditure).
- Handle monthly invoice reports and ensure budget usage aligns with forecasts.
- Monitor the SOP implementation and maintain the governance.
Operational Excellence:
- Ensure implementation of agreed SOPs (Standard Operating Procedures) and review their effectiveness.
- Conduct regular 5S checks and provide refreshment sessions for departments/sites with most findings.
- Review tenant signage and communications pool.
Qualifications :
What Essential Skills You Will Need
- Bachelors degree in Business Administration Civil Mechanical Electrical Facilities Management Building Management Real Estate Management or a related field.
- Minimum of 5 years of experience in estate management facilities management or a similar role.
- Have experience building and maintaining car pools.
- Proficiency in English
- Quick response proactive and high sensitivity to see the problems
- Financial knowledge with experience in budget management and financial reporting.
- Excellent project management skills with experience managing large-scale projects.
- Proficiency in using project management tools and software.
- Experience managing facilities in a multi-location setup.
- Knowledge of 5S methodology and its implementation.
- Familiarity with the use of Gantt charts for project management.
