This opportunity sits in our London office working for Westpac Institutional Bank (WIB) the division of Westpac which services the needs of our corporate institutional and governmental clients.

How will I help

The Funds Product Onboarding(FPO) Case Management Team plays a critical role in ensuring the organization remains compliant with multiple regulatory requirements safeguarding the banks reputation and financial assets.

Operating in close partnership with Relationship Managers Product Fulfilment Global Derivative Reform Team Credit Legal and Compliance the team delivers efficient and timely onboarding of new and existing fund client relationships to Westpac.

The Case Management Team is responsible for managing Front Office relationships for business requests related to Fund Onboarding Westpac Australia CIB FM Onboarding and Remediation activities.

As an Analyst you will manage the end-to-end client onboarding process ensuring all due diligence documentation is accurately sourced and delivered to the WIB Operations teams for completion. This role requires strong stakeholder engagement attention to detail and a proactive approach to meeting compliance and operational standards.

Key responsibilities

Operate as the primary point of contact for Relationship Managers and clients to coordinate fund client onboarding collaborating closely with both to collect all required documentation and supporting evidence to meet KYC duediligence requirements. Acting as a Subject Matter Expert (SME) on KYC and regulatory obligations you will guide clients through documentation variations and compliance expectations while monitoring and following up with WIB Operations teams to ensure onboarding is completed within agreed timelines.

Activities Include:

  • Manage urgent New to Bank or Client Already Traded onboarding requests end-to-end.
  • Create entity static data and manage cases from initiation to completion.
  • Submit Credit tasks and allocate derivatives regulations for Legal tasks.
  • Save ISDA documentation. handle Product Fulfilment & SSI tasks.
  • Conduct Regulatory Scoping and coordinate with outsourced support teams.
  • Action urgent Amendments Legal Name Changes LEI Changes and Confirmations updates.
  • Review and escalate items from the Credit Exception Report.
  • Complete cases from the Case Management Inbox including those received via email or Industry Platforms.
  • Manage email traffic within the Case Management inbox and provide direct support to RM/Sales in London Germany and New York.
  • Offer onsite support to Sales teams and handle urgent escalations with onshore teams

What Success Looks Like

  • Support Relationship Managers with ongoing client maintenance exits and other due diligence-related tasks as required.
  • Manage personal workload prioritize tasks effectively and escalate key risks/issues to management in a timely manner.
  • Maintain awareness of the risk environment asking questions and seeking clarity where necessary.
  • Stay informed of process changes regulatory updates and maintain open communication with global colleagues. Work with peers to ensure process consistency and keep procedures accurate and up to date.
  • Ensure timely consistent and accurate inputs into Error Capture (IORAF) platforms.
  • Foster close interaction between Operations teams to ensure seamless communication and consistency.
  • Identify opportunities to strengthen risk controls and improve procedures for better risk mitigation.
  • Take ownership of personal training and development needs ensuring you have the tools and knowledge to perform effectively.

Identify opportunities for system and process enhancements conduct cost-benefit analysis with management and lead delivery where agreed

What do I need

Essential

  • A working knowledge of FM Product Onboarding / KYC/ Compliance/ AML procedures and standard
  • Knowledge of the financial industry with in-depth expertise in various lines of business and products (Institutional Banking)
  • Knowledge of multiple client types (i.e. Corporates Correspondent Banks NBFIs Trusts SPVs Funds Partnerships
  • Prior experience of adhering to controls and compliance standards
  • Quality client focus strong controls mind-set and strong customer services skills (i.e. oral and written communication skills)
  • Flexibility to handle multiple tasks and changing priorities
  • Ability to drive to take full ownership of processes
  • Ability to work under pressure and tight deadlines
  • Strong decision-making capabilities and the ability to identify problems and drive to resolution
  • Strong time management organisational relationship building & coordination skills
  • Strong verbal and written communication skills
  • Ability to grasp/ learn concepts and procedures quickly
  • Proven project management skills

Desirable

  • Practical hands on experience in using VBA and/or SQL to solve business problems
  • Experience using Fenergo or other lifecycle workflow systems
