Job Summary

Were looking for an experienced and motivated International Payroll and Time & Attendance Specialist to join our team and support VELUX payroll operations across multiple countries mainly within the CEE region.

In this role youll remotely manage end-to-end payroll activities and oversee attendance and time-off systems ensuring accuracy compliance and a great employee experience. Youll work closely with local HR teams Finance and external payroll providers playing a key role in keeping payroll operations running smoothly and on time.

Your main tasks will include:

Payroll activities

  • Responsible for preparing payroll inputs for individual countries by consolidating and verifying information from various internal sources

  • Benefits and meal voucher calculations (if applicable in any of the scope countries)

  • Administration of other documentation with impact on salary administration (e.g. garnishments tax cut documents etc.)

  • Administration of allowances (e.g. commuter internet etc.)

  • Sending data for the monthly payroll closing to the provider

  • Controlling payroll output files received from the provider

  • Ensuring end-to-end payroll processing and timely payout to employees (including verifying that taxes are paid and filed by the provider)

  • Acting as a speaking partner with the outsourced payroll provider (monthly/quarterly meetings to monitor performance and discuss errors or inefficiencies)

  • Ensuring payroll processing complies with applicable legislation KPIs SLAs and the payroll calendar

  • Creating manual payment requests

  • Providing monthly payroll journals for salary posting to Finance

Time & Attendance (T&A) activities

  • Sick leave administration monitoring and reporting (with a focus on long-term leaves) maternity leaves and employees with disabilities

  • Acting as superuser of the Time & Attendance system (local or Workday) including employee support data control reminders monthly closing and yearly activities (vacation balance setup holiday calendars accruals etc.)

  • Executing proactive controls and data quality checks

  • Preparing and validating time data for payroll processing

General activities

  • Close cooperation with local P&O teams (HR Support Admin HR Business Partners) and VELUX Group Business Services (Finance)

  • Internal and external reporting (recurring and ad hoc)

  • Preparation of employment certificates and answering employee questions related to payslips (Tier 2 support)

  • Issuing tax documentation to employees

  • Development and maintenance of the payroll manual (SoP) to ensure business continuity

  • Ensuring proper data handling in line with data privacy regulations

  • Driving monthly data comparison activities (Workday vs. payroll system)

  • Ensuring updated Tier 0 local payroll information pages (if applicable)

  • Value validation towards Finance (indirect account clearing)

  • Data preparation for ESG audits and other annual internal audits

  • Participation in payroll and T&A-related projects

Who you are:

You are detail-oriented structured and confident in managing attendance absence and outsourced payroll processes. You enjoy working with data collaborating with stakeholders and supporting employees with payroll-related topics.

Key requirements:

  • Minimum 2 years of experience as Payroll Admin Time Admin Payroll SME or similar role

  • College or university degree (economics business administration HR accounting or similar)

  • Fluent English (written and spoken)

  • Experience with payroll controls and audits

  • Strong communication skills with a focus on employee experience

  • Solid vendor and stakeholder management skills

  • Ability to work independently with a proactive mindset

  • Adaptability in a fast-changing environment and ability to work with tight deadlines

  • Advanced Excel skills

  • Strong numerical and analytical abilities
