Department Overview :

TD Legal is a team dedicated to providing legal advice and counsel to all TD business segments (Retail Wealth Insurance Wholesale Business Banking) as well as the Corporate Functions including Corporate Development Enterprise Real Estate Strategic Sourcing Treasury Global Anti-Money Laundering and Enterprise Technology & Shared Services).

Job Overview:

The Operations Analyst will be a member of the Legal Operations team and will primarily support business operations related to office management and colleague services. This role is responsible for delivering a concierge-style service model while supporting access management processes for the Legal Department including onboarding and offboarding physical access and system access requests. The Operations Analyst plays a key role in ensuring operational efficiency compliance and positive colleague experience across the Legal function.

Accountabilities:

    • Prioritize and manage workload effectively to meet service level agreements (SLAs) and productivity targets.

    • Adhere to internal policies industry regulations and operating best practices ensuring all documentation and transactions are completed accurately and in compliance with established procedures

    • Identify report and escalate operational issues risk and opportunities for process improvement.

    • Support the Legal Operations Manager with departmental meetings correspondence mail and fax distribution and invoice processing.

    • Ensure the office environment is operationally sound including ordering supplies and inspecting common areas meeting rooms and café spaces to address operational needs.

    • Serve as the primary point of contact for building management and service providers (e.g. BGIS Cadillac Fairview and other maintenance vendors) and liaise with internal teams on operational and service delivery matters.

    • Monitor day-to-day operational activities balance workloads and ensure compliance with internal and external requirements.

    • Drive remediation and action plans to address business management gaps audit findings priorities or operational issues.

    • Provide general administrative support as required.

    • Maintain an integrated and aggregated view of operational activities across the function providing timely escalations recommendations and decision support to leadership.

    • Deliver clear and consistent functional and business level communication to stakeholders and colleagues aligned with business strategies.

    • Support and promote a strong work culture by identifying opportunities to strengthen processes and controls and ensuring operations remain within the Banks risk appetite

    Education Qualifications and Experience

    • High school diploma or more

    • Must be able to be in office 5 days a week

    • Excellent oral and written communication skills

    • Tech-savvy and well-versed in legal enterprise software tools and applications including familiarity with matter management and e-billing systems and advanced use of Microsoft Office Suite

    • Demonstrated ability to independently deliver initiatives on multiple workstreams concurrently using change management practices to facilitate transitions related to technology processes and people

    • Enthusiastic self-motivated team player with a strong interest in learning creating efficient processes and seamless user experience

    • Strategic decision making sound judgment and strong problem-solving skills required along with a proven track record in collaborating with diverse stakeholders and influencing change
