Job Summary

Role Overview

We are seeking a highly organized and detail-oriented Executive Assistant & CRM Manager to support a home-build salesperson. This role is responsible for managing daily administrative tasks and owning the CRM system to ensure leads clients and projects are tracked accurately from initial inquiry through contract.

The ideal candidate understands sales pipelines is comfortable communicating with homeowners and takes ownership of systems and follow-up.

Key Responsibilities

Executive Assistant / Sales Support

  • Manage calendar appointments and follow-ups for the salesperson

  • Handle email and inbox management prioritizing sales-related communication

  • Communicate with homeowners vendors and internal teams on behalf of the salesperson

  • Prepare proposals estimates contracts and client-facing documents

  • Keep the salesperson organized and focused on closing deals

CRM & Pipeline Management

  • Own and manage the CRM system end-to-end

  • Enter update and maintain all leads contacts and deal stages

  • Ensure consistent follow-up on all leads (no leads fall through the cracks)

  • Track lead sources conversion rates and pipeline health

Lead Follow-Up & Nurturing

  • Follow up with executive and about leads via email text or phone

  • Schedule consultations and site visits

  • Re-engage cold or stalled leads through CRM workflows

Reporting & Process Improvement

  • Provide weekly reports on lead activity pipeline status and conversions

  • Identify gaps or bottlenecks in the sales process

  • Improve CRM organization workflows and documentation

Administrative & Operations Support

  • Organize digital files contracts and build-related documents

  • Track important dates approvals and next steps

  • Support the handoff from sales to construction once contracts are signed

Required Qualifications

  • Experience as an Executive Assistant CRM Manager or Sales Operations role

  • Strong understanding of sales pipelines and lead management

  • Hands-on experience with CRM systems

  • Excellent communication and organizational skills

  • High attention to detail and ownership mindset

Preferred (Nice to Have)

  • CRM setup and automation experience

  • Inside sales or customer success background

What Success Looks Like

  • CRM is clean accurate and fully up to date

  • Every lead receives timely and consistent follow-up

  • Salesperson is freed from admin and CRM tasks

  • Clear visibility into pipeline and revenue forecasts
