Rosenbaum Realty Group is a fast-growing high-performance real estate and property organization with multiple locations in Arizona and we are seeking a highly organized proactive Executive Assistant to support senior leadership in a dynamic fast-paced environment.
This role is ideal for someone who thrives on task switching planning ahead and keeping executives operating at their highest level while also handling real estate transactions with precision and accountability. Someone who has proven ability to stay several steps ahead of executive priorities and deadlines
This position is a critical support role directly connected to executive productivity. You will work closely with the owners to manage schedules communications transactions and operational detailsboth business and select personal tasksso the organization runs smoothly and efficiently.
Required Qualifications
- Preferred but not a dealbreaker to have an Arizona Real Estate License (active or inactive) or willingness to obtain
- Experience or strong understanding of real estate and property management.
- Minimum of 5 years in an Executive Assistant Operations or high-level support role. Experience supporting executives or business owners
Strong organizational skills with the ability to switch tasks quickly
Close attention to detail and strong follow-through
- Highly resourceful and solution-oriented; able to figure things out independently
Excellent written and verbal communication skills
Tech-savvy and comfortable managing multiple systems and inboxes
- Self-starter who executes tasks immediatelyno waiting no excuses no hand-holding
Key Responsibilities
Executive Assistant Responsibilities
- Manage executive email inboxes and calendars ensuring priorities are handled proactively
- Schedule meetings coordinate appointments and manage competing deadlines
- Organize and maintain documents contracts bank files and internal records
- Assist with business administration reporting and organizational structure updates
- Support executive workflows with planning follow-ups reminders and task tracking
- Handle select personal support tasks (errands scheduling household logistics etc.) as part of executive support
- Maintain confidentiality and professionalism at all times
Transaction Coordinator Responsibilities (Licensed Candidates)
Prepare and manage real estate transaction files from contract to close
Ensure all documents are accurate complete and submitted on time
Coordinate with agents escrow lenders inspectors and third parties
Track timelines deadlines and contingencies
Maintain compliance with Arizona real estate regulations
Keep transaction records organized and up to date
Office & Work Environment
In-office role
Shared executive office environment
Regular interaction with owners and the team
Fast-moving days with varietyno two days are the same

Salary Range: $65000$85000 based on experience.
