DescriptionRole Responsibilities
- Own the onboarding process for new starters including; all system updates ensuring the employee is set up correctly on NEP being the main point of contact for the employee once they have accepted the job offer supporting managers with preparing the induction programme holding a Head Office Induction for new starters.
- Own the probation review process across all departments including; sharing probation review forms sending reminders to managers on key dates supporting with documentation for any relevant meetings and outcomes. Escalating to relevant People Partner if additional support is required with extending or failing probation periods.
- Manage employee data on all systems including; name changes salary changes working hours changes reporting line changes holiday issues/changes maternity leave benefit changes etc.
- Support with all reporting requirements across the department and wider business using relevant systems to produce and provide accurate data.
- Conduct regular data audits to ensure processes are aligned with up-to-date legislation (Right to Work Checks GDPR and National Minimum Wage).
- Own the company organisational charts ensuring they are always up to date and accurate
- Own the HR Queries inbox and respond to all queries in a timely manner escalating to relevant People Partner if required
- Lead on all payroll queries and act the point of contact between employees and the payroll team when queries need to be escalated for additional support / information.
- Provide first line Employee Relations advice in line with Company policies ensuring a best practice approach whilst remaining commercial and balancing the needs of the business and the employee. Escalate complex HR issues to the People Partners and Advisor to support as necessary.
- Support the People Partners and Advisors with any ER processes e.g. preparing documentation for redundancy grievances disciplinary performance management sickness absence meetings maternity/paternity and flexible working and note taking across meetings.
- Support the Talent team with recruitment coordination including system maintenance processes and room booking
Support the Learning & Development team with training coordination including updating training content system maintenance and room booking. - Provide ad hoc support to the Comms Wellbeing & Culture team with event coordination and administration.
Maintain all People documents used by employees across the business including guides resources templates and policies ensuring all information is accurate and up to date. - Continuous improvement of all people processes working with the People Partners and wider teams to create efficiencies across all policies and processes ensuring they are up to date efficient and people focused.
- Support People Partners and wider People team with annual processes eg pay review and budget and projects eg your voice counts.
- Own the leaver process for all employees including; confirming notice periods for managers leaver letters ensuring the system is updated with correct information ensuring final pay is correct collecting equipment (where required) and responding to any leaver queries in a timely manner.
