Our client is a familyowned and operated house painting company based in Gold Coast Queensland Australia. The business specialises in providing highquality residential commercial and exterior painting services using premium paint products and professional tools to deliver longlasting finishes. They cover a broad service area across the Gold Coast and surrounding suburbs.
JOB SUMMARY:
We are seeking an experienced Service Admin to support our trade-based business. This role is not a junior support position; we are looking for a self-motivated professional who can independently manage and improve key administrative accounts and operational processes. There is scope for this role to grow including involvement in employee KPI tracking and bonus reporting.
KEY RESPONSIBILITIES:
Monitor employee timesheets and liaise with the bookkeeper for payroll processing.
Update and maintain Google Sheets reports including WIP and labour reporting.
Prepare draft invoices for approval and issue them to clients.
Follow up on overdue invoices.
Enter and maintain job costs in FERGUS Job Management System.
Ensure ongoing updates and data maintenance in FERGUS Job Management System.
Ensure Safe Work Method Statements (SWMS) are completed for each job and check for sign-off compliance.
Submit QBCC Home Warranty Insurance policies online for homeowner jobs.
Send Google Forms to customers as required.
Manage the work vehicle register including registration servicing and compliance.
Support HR administration and employee data management as needed.
Collect update and prepare reports for the management team.
Provide ad hoc administrative support as required.
Requirements
- Proven experience in administration and accounts functions ideally within an Australian trade-based business.
- Strong understanding of payroll invoicing and job management systems (FERGUS preferred).
- Ability to work independently and continuously improve processes.
- High attention to detail and strong organizational skills.
- Proficiency in Google Workspace (Sheets Forms etc.) and other relevant software.
- Strong communication skills both written and verbal.
