ABOUT THE ROLE
Reporting to the Lead PEC Shared Services this position is responsible for handling customer inquiries and requests received from Regional employees service providers and the public across a variety of communication channels resolving concerns communicating advice and actioning a wide range of administrative requests related to People Equity and Culture (PEC) subject matter areas.
WHAT YOU WILL BE DOING
Acts as a first point of contact providing administrative and general support to the Shared Services Centre in PEC responding to general PEC process-related inquiries researching and compiling background material and communications and redirecting Regional staff and external candidates to the appropriate contacts as required.
Advises on collective agreements and PEC policies within their breadth of knowledge escalating specialized issues as required.
Assists employees with navigating PEC tools resources and policies.
Collaborates with centres of expertise in PEC to ensure smooth service delivery and accuracy in information.
Supports talent acquisition activities including greeting candidates assisting with testing conducting background checks and preparing employment verification letters.
Processes new hire onboarding documentation and produces various letters as required.
Supports grievance processes including tracking scheduling Step 3 grievances reporting and documentation related to arbitration and settlements.
Provides administrative and procedural support for employee terminations initiated by the Region.
Manages employee files and records in compliance with leglislation and corporate standards.
Assists PEC branch staff with records management advice and support escalating to corporate information management as required.
Generates various PEC reports and assists with employee listening survey administration and generating standard and ad hoc reports to support business and compliance needs.
Prepares and submits periodic reports to union representatives as required.
Assists in planning and executing various employee engagement events.
Maintains adequate level of basic office supplies and related equipment escalating non-standard requests to the Lead as required.
Contributes to the continuous improvement of PEC processes systems and knowledge base resources within the PEC Shared Services model.
WHAT WE ARE LOOKING FOR
Successful completion of a Community College Diploma or approved equivalent combination of education and experience.
Minimum two (2) years experience in a human resources operation including progressively responsible administrative experience.
General knowledge of relevant Employment and Human Services legislation acts and regulations.
Knowledge and understanding of a unionized work environment.
Ability to demonstrate the Regions core competencies.
Advanced skills in virtual platforms and MS Office Suite including the use of virtual platforms.
Demonstrated experience in organizing meetings including preparation of agendas taking minutes documentation and circulation of minutes with attention to detail and accuracy.
Knowledge of general office procedures preparing documents and records management practices.
Excellent interpersonal skills and ability to connect with a range of internal and external stakeholders while focusing on fostering collaborative work relationships.
