The Bookkeeper is responsible for maintaining accurate financial records for the company ensuring that all financial transactions are documented in compliance with accounting principles. The role involves managing accounts processing invoices reconciling accounts and assisting with month-end and year-end financial reporting.
Record Financial Transactions:
Record all financial transactions into the companys accounting software ensuring accuracy and timeliness.
Maintain the general ledger posting transactions for accounts payable (AP) accounts receivable (AR) and other financial accounts.
Process incoming invoices and payments ensuring proper coding and approval.
Account Reconciliation:
Reconcile bank accounts and credit card statements with company records identifying discrepancies and resolving issues promptly.
Reconcile customer accounts and vendor accounts ensuring that all balances are correct.
Assist with the month-end and year-end closing procedures ensuring financial records are accurate.
Accounts Payable & Receivable:
Process accounts payable by ensuring that vendor invoices are paid on time accurately and in accordance with company policies.
Manage accounts receivable ensuring that customer payments are accurately recorded and follow up on overdue accounts.
Prepare and send statements to customers as needed.
Payroll Assistance:
Assist with payroll processing by maintaining employee records timesheets and other payroll-related documentation.
Ensure that payroll taxes benefits and deductions are accurately recorded.
Coordinate with HR or external payroll providers to ensure timely and accurate payroll processing.
Financial Reporting & Documentation:
Prepare financial statements including profit and loss reports balance sheets and cash flow statements.
Assist with preparing reports for tax filing audits and other regulatory requirements.
Maintain accurate documentation of financial records and transactions for easy access and reference.
Expense Tracking & Budget Management:
Monitor expenses and ensure they are within the allocated budget.
Track company spending and categorize expenses in accordance with accounting best practices.
Assist in preparing monthly and annual budgets.
Tax Compliance:
Ensure that all tax-related records are kept accurate and organized.
Assist with sales tax payroll tax and income tax filings as needed.
Ensure compliance with local state and federal regulations regarding financial reporting and tax submissions.
Other Administrative Tasks:
Provide general administrative support for the finance department including filing organizing and maintaining financial documents.
Assist with special projects as needed and provide backup support for other finance team members.
Education:
High school diploma or equivalent required.
Associates or Bachelors degree in Accounting Finance or related field is preferred.
Experience:
2 years of experience in bookkeeping or a similar financial role.
Familiarity with bookkeeping software (e.g. QuickBooks Xero Sage) is required.
Strong understanding of accounting principles and practices.
Skills:
Strong attention to detail and accuracy in financial record-keeping.
Proficient in Microsoft Office Suite (especially Excel) and accounting software.
Excellent organizational and time-management skills.
Ability to prioritize tasks and meet deadlines in a fast-paced environment.
Strong communication skills both written and verbal.
Ability to work independently and as part of a team.
Certifications (Optional):
Bookkeeping certification (e.g. AIPB) is a plus but not required.
Knowledge of tax regulations and compliance requirements is a bonus.
Office-based position with standard business hours (typically 9 AM - 5 PM).
Some flexibility for remote or hybrid work may be available depending on company policy.
Occasional overtime may be required during month-end or year-end closing periods.
