What this job involves:

The Assistant Facilities Manager position serves as a critical systems administrator and operational coordinator for our distributed retail portfolio ensuring seamless maintenance management and exceptional client service delivery. This role combines technical expertise in CMMS administration with hands-on facilities management working remotely while maintaining strong client relationships and coordinating with maintenance technicians and third-party providers. Youll be responsible for maintaining the operational integrity of our maintenance management systems while driving continuous improvement in service delivery KPI achievement and customer satisfaction across multiple retail locations.

What your day-to-day will look like:

Plan schedule coordinate and assign all frequency and work type maintenance activities using industry and client best practices for your assigned portfolio

Oversee daily work order review and follow-up to ensure successful service delivery and optimal customer experience

Manage vendor performance and coordinate all Preventative and Recurring Maintenance activities for assigned properties

Serve as primary interface with clients and sites remotely cultivating positive working relationships with client representatives and service providers

Maintain overall integrity of the CMMS (Corrigo) system supporting the account team and ensuring proper system configuration to meet internal and client objectives

Develop and produce monthly quarterly annual and ad-hoc account reporting including work order activity scheduled maintenance service level compliance and incident reporting

Communicate KPI and SLA requirements in a timely manner while partnering to identify service delivery improvements and cost savings opportunities

Required Qualifications:

3-4 years of experience in facilities management with proven expertise managing CMMS/work order applications

Proficiency in MS Office with advanced Excel spreadsheet skills and capability to customize administrative reports

Superior customer service skills with strong orientation to provide exceptional client experience

Demonstrated ability to maintain professionalism under stressful situations and manage work under time constraints

Strong written verbal and interpersonal communication skills with collaborative working style

Ability to multitask effectively and work independently without direct supervision

Willingness to participate in rotating on-call schedule for nights weekends and holidays to handle emergency calls

Preferred Qualifications:

Undergraduate degree or equivalent combination of education and experience

Previous experience with Corrigo CMMS platform and vendor coaching capabilities

Background in retail facilities management or distributed portfolio oversight

Experience developing quality improvement practices and implementing response plans

Knowledge of facility management KPIs and service level agreement management

Familiarity with third-party contractor management and vendor coordination processes

Understanding of preventative maintenance scheduling and recurring maintenance protocols
