Salary Placement: New employees will start at the minimum hourly rate in the classification salary range. However employees who have verified prior years of service of similar occupational experience may receive experience credit towards salary step placement.

SUMMARY STATEMENT:
Under the general supervision of the Assistant Manager Classified Human Resources the Substitute Services Program Assistant will assist in developing and optimizing processes and procedures to monitor and process time sheets and work hours for all certificated and classified substitute employees.
ESSENTIAL FUNCTIONS:
- Communicate effectively with the staff and general public in person by telephone via E-mail and in writing.
- Develop procedures to accurately track Substitute Employee hours for SEBB eligibility.
- Analyze data develop and generate reports as needed.
- Develop procedures to increase efficiency in substitute payroll processing.
- Troubleshoot the Frontline/AESOP system.
- Evaluate and review transcripts and experience for Certificated Long Term Substitutes ensuring proper salary placement.
- Generate documents and communication for Substitute Office.
- Coordinate with other Departments and Buildings to ensure timely and accurate substitute pay.
- Verify accuracy of all input from data entry make corrections as necessary and verify corrections before submitting to Payroll Department for processing.
- Train new Secretaries on Substitute pay processing and Frontline/AESOP as needed.
- Assist in training certificated and classified substitutes on the use of the Frontline/AESOP system on an as needed basis.
- Assist Educational Services District #112 with unemployment claim information attending hearings as requested.
- Assist in revising and ordering various forms used in the substitute process as necessary.
- Maintain an up-to-date understanding of the operation of the department identify areas for improvement and develop procedures as needed.
- Provide back-up in all areas of substitute operation as necessary.
- Update all systems annually.
- Process written employment verifications.
- Generate and distribute retirement statements to substitute teachers on a quarterly basis.
- Troubleshoot research verify process and input time sheets; process Form As and long-term verifications.
- Develop and maintain substitute employee records.
OTHER RESPONSIBILITIES:
- Perform other related duties as assigned.

TOOLS AND EQUIPMENT NECESSARY:
Computer telephone 10-key calculator copy machines facsimile machine and all other tools and equipment necessary to perform the essential functions as listed above.
MINIMUM QUALIFICATIONS:
(Testing may be required.)
- Typing/keyboarding of 50 wpm.
- A minimum of three years of experience in a related field or equivalent training.
- Demonstrated ability to problem solve analyze and resolve substitute related issues.
- Demonstrated ability to perform on the computer including data entry using a Windows environment and spreadsheet applications and the Internet.
- Knowledge of or willingness to learn the online computer system in conjunction with the Washington School Information Processing Cooperative.
- Demonstrated ability to operate the office equipment as listed in the tools and equipment area above.
- Demonstrated ability to perform tasks accurately and in accordance with established guidelines.
- Demonstrated ability to work with constant interruptions and perform under deadline pressure.
- Must possess good math aptitude.
- Demonstrated ability to communicate effectively and possess a positive attitude.
- Demonstrated ability to work on own initiative and problem solve.
