Position Summary
We are seeking a reliable and self-motivated Office Administrator to oversee the smooth running of our office and ensure the rest of the staff has adequate support to work efficiently. The ideal candidate will be a competent problem-solver with superb communication skills and a meticulous attention to detail.
Key Responsibilities
- Office Management: Ensure general management of the office by overseeing operational efficiency maintaining a clean and organized workspace and managing facilities and equipment.
- Reception & Communication: Manage the reception area including greeting visitors answering and directing phone calls and handling incoming/outgoing correspondence (emails letters packages).
- Administrative Support: Provide a variety of administrative duties such as generating documents data entry filing and assisting colleagues and management with ad-hoc requests.
- Scheduling & Events: Coordinate and schedule meetings appointments and travel arrangements. Assist with planning internal and external office events.
- Inventory & Supplies: Monitor and manage inventory of office supplies track stock levels and place orders when necessary to avoid interruptions.
- Financial Tasks: Assist with basic bookkeeping procedures including processing invoices tracking expenses and managing petty cash.
- Compliance & Records: Create and update records and databases with personnel financial and other data ensuring confidentiality and compliance with company policies.
Requirements
Required Skills and Qualifications
- Experience: Proven experience (e.g. 2 years) in an office administrator office assistant or relevant administrative role.
- Technical Proficiency: Excellent knowledge of MS Office Suite (Word Excel Outlook PowerPoint) and office management software.
- Organizational Skills: Outstanding organizational time-management and multitasking abilities with a high attention to detail.
- Communication: Strong written and verbal communication and interpersonal skills.

- Ability to work independently with little supervision and prioritize tasks effectively.
- Professionalism discretion and an ability to handle confidential information.
- A proactive problem-solving mindset and adaptability to a fast-paced environment.

Preferred Qualifications
- Associates or Bachelors degree in Office Administration or a related field.
- Basic knowledge of accounting principles or experience with accounting software (e.g. QuickBooks).
- Familiarity with basic HR functions and processes such as onboarding logistics.
