Job Summary

DURATION: This assignment is expected to last 9-12 months.

SUMMARY:
The King County Sheriffs Office has a Term-Limited Temporary / Special Duty Administrative Specialist III opportunity working with the Internal Investigations Unit (IIU). The position will work directly with the Captain and Sergeants and support the daily processes and functions of the unit.

WORK SCHEDULE:
This is full-time overtime eligible (with prior supervisor approval) position. Typical work schedule is 40-hours per week on a 5/8 or 4/10 schedule. Additional hours may be necessary to respond to workload needs which may include evenings and weekends.

This assignment is currently working a hybrid schedule with a minimum of 3 days in the office.

Teleworking Requirement:

The work associated with this position will be performed through a combination of teleworking complemented with onsite work and meetings as needed. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.

Employees will be provided with a County-issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours.

Job Duties


The responsibilities and functions of this assignment include:


Provide and/or acquire program-specific information relating to assigned specialized or technical clerical support services that require interpreting established policies procedures codes regulations and other relevant sources to internal and/or external customers over the telephone in writing and/or in person.
Research and summarize specialized or technical information from varied sources. This may require selecting the most appropriate material and the use of spreadsheets and customized database applications.
Compose draft summarize prepare proofread and/or edit documents contracts ordinances motions and/or correspondence to ensure these conform to the appropriate use of the English language specialized terminology and established procedures.
Process mail that may require attaching related correspondence or information before forwarding respond to mail that can be handled personally identify priority and/or time sensitive matters and maintain security and confidentiality.
Prepare and disseminate materials reports memos and data for review and for Command Staff and for utilization in meetings review boards and investigations.
Maintain various databases with pertinent information related to KCSO and law enforcement matters.
Ensure all relevant and necessary documentation is maintained and entered for IIU-specific database and tracking system (IAPro BlueTeam and Origami)
Administrator for IIU-specific IT systems and provide trouble-shoot assistance for users.
Schedule and facilitate meetings and maintain calendars for supervisor and/or organizational unit/program.
Maintain supplies and general office management for the unit.
Perform other duties as assigned.


Experience Qualifications Knowledge Skills


Demonstrated experience providing comprehensive administrative support.
Knowledge of general office policies principles and practices
Knowledge of software applications and word processing skills relative to the position assignment (Microsoft Word Excel and Outlook).
Ability to learn various databases unique to law enforcement.
Experience with data research collection and interpretation for varied audiences.
Proficient in maintaining accurate documentation file management and thorough record keeping.
Exceptional organizational and time management skills with a consistent focus on meeting deadlines and following up on assignments; ability to prioritize workload and manage competing priorities in a timely manner.
Strong written and verbal communication skills.
Strong customer service skills (discretion patience etiquette professionalism)
Analytical and problem-solving skills
Skill in maintaining highest level of confidentiality; ability to work with information that may be of a negative nature with maturity and poise.
