Position Summary:
The Fund Stewardship Coordinator will coordinate and execute the North Dakota State University fund stewardship reporting program. This role encompasses donor acknowledgements impact reporting and assisting in the administration of the fund utilization software program to ensure every donor is thanked for their giving and understands the impact of their philanthropy. With a donor-centered mindset and a passion for ensuring and celebrating the impact of giving this position will inspire deep and long-term relationships between donors and the North Dakota State University through intentional fund management and maximizing the use of all available donor established funds. This position will coordinate and deliver financial reports utilizing impact stories from NDSU and its students.
Essential Duties and Responsibilities:
- Support NDSUs acknowledgement process to ensure thank you notes are being sent in a timely manner and partner with Foundation and campus colleagues on new creative ways to thank all donors.
Reporting
- Coordinate the named faculty reporting process by collecting content from faculty members editing reports and collaborating with design team in layout.
- Coordinate with key internal and external partners on the production and delivery of annual endowment and expendable fund activity reports.
- Coordinate the donor reporting process for periodic and personalized donor impact reports.
Support
- Coordinate and execute scholarship thank you programs working with university partners to implement a streamlined scholarship thank you process.
- Coordinate with Foundation Accounting to provide scholarship fund balances to scholarship committees.
Utilization
- Assist Director of Compliance and Senior Accountant in scholarship administration to include reviewing and analyzing compliance and spending.
- Assist Director of Compliance in executing the internal audit process including monitoring fund spending and usage in accordance with donor intent to ensure maximized fund utilization.
- Assist Director of Compliance in annual spending reviews with administering authorities and educating stakeholders on the impact of successful fund stewardship.
- Aid in administration of stewardship and compliance software.
- Monitor evaluation mechanisms for measuring fund utilization and impact reporting and adjust strategies accordingly.
- Other duties as assigned.
Essential Functions:

- Maintain confidentiality of records and information.
- Efficiently operate a personal computer and associated software (Outlook Word Excel etc.)
- Maintain files accurately in paper and within software programs
- Maintain records and prepare reports
- Handle multiple tasks simultaneously
- Follow through on projects with little supervision
- Plan prioritize and meet deadlines.
- Establish and maintain positive working relationships with others both internally and externally to achieve the goals of the organization.
- Speak listen and write in a clear thorough and timely manner using appropriate and effective communication tools and techniques.
- Prompt and reliable attendance.
- Demonstrate support of Foundation mission and beliefs.
Minimum Qualifications:
- High School Diploma or GED and 2 years of related experience
- Demonstrated project management experience in creating project plans with concise executable timelines and measurable results
- Knowledge and experience working across diverse databases including background in preparing large reports
- Ability to fundamentally understand financial information
- Excellent interpersonal skills
- Highs level of professionalism and confidentiality
- Strong written and verbal communication skills
- Ability to contribute toward appealing stories and visualizations
Preferred Qualifications:
- Bachelors degree in a related field
- Previous experience working with FundMiner or similar software platform
- Experience working in a higher education setting
- Previous experience in a nonprofit environment
Physical and Mental Demands: Constantly operates a computer/smartphone/tablet. Regularly required to maintain a stationary position move about the office determine what others have said or written critical thinking and converse with others and exchange accurate information. Regularly required to sit stand bend reach and move about the office and within the community. May also include occasional bending stooping squatting and/or pushing and pulling or moving objects. Occasionally required to move raise reach and/or retrieve binders books boxes and files up to ten (10) pounds.
