Job Summary

Primary Purpose:

To assist in the efficient operation of the Business Office with ongoing accounting

Qualifications:

Education/Certification

  • Bachelors degree required upon application. Preferred areas of study are business payroll accounting and finance.

Skills

  • Minimum of three years of payroll experience required
  • Accounting experience preferred
  • Experience with Microsoft Office Suite Google G-Suite spreadsheet software and accounting/payroll software required
  • Working knowledge of payroll laws IRS and TRS reporting and benefit deductions required
  • Ability to operate a 10-key adding machine by touch preferred
  • Demonstrated ability to read and interpret technical procedures and governmental regulations
  • Demonstrated ability to write reports and business correspondence
  • Ability to effectively present information and respond to questions
  • Strong organizational communication and interpersonal skills required
  • Ability to work in a team-oriented environment and under pressure of audits deadlines and multiple tasks



Working Conditions:

  • Tools/Equipment Used: Standard office equipment including personal computer and peripherals
  • Posture: Must be physically able to tolerate prolonged sitting frequent standing; occasional bending/stooping pushing/pulling twisting and standing
  • Motion: Must be physically able to tolerate frequent standing and walking repetitive hand motions frequent keyboarding and use of mouse; occasional reaching occasional driving
  • Lifting: Must be physically able to tolerate regular light lifting and carrying (less than 15 pounds); may require occasional heavy lifting and carrying (45 pounds or more)
  • Environment: Must be physically able to work inside; tolerate frequent districtwide travel and occasional statewide travel; regular exposure to noise
  • Mental Demands: Must be able to work with frequent interruptions; maintain emotional control under stress; work prolonged or irregular hours on occasion
  • Regular Attendance is an essential function

Major Responsibilities and Duties:

  1. Manages and processes all aspects of payroll including verifying timekeeping records for accuracy and compliance with policies and procedures
  2. Maintains payroll system data; enters payroll updates deductions benefits and personnel changes
  3. Processes payroll terminations and monthly payroll payoffs
  4. Processes payments and prepares reports for IRS TRS and other payroll-related entities
  5. Maintains and reconciles employee payroll deductions and benefit records
  6. Assists employees with payroll-related questions and concerns
  7. Sets up new employees in payroll and personnel systems
  8. Prepares and maintains payroll documentation and files for audit and compliance purposes
  9. Processes monthly payoffs for payroll
  10. Compiles statistical and financial data to produce payroll and accounting reports
  11. Reviews and approves travel expenses related to payroll processing
  12. Collaborates with Business Office staff Directors and program personnel to ensure accurate payroll and budget alignment
  13. Creates and monitors required financial and data report submissions for completion timeliness and accuracy
  14. Assists with bank reconciliations and internal charge computations related to payroll
  15. Assists auditors as needed
  16. Learns duties of other Business Office staff to provide backup support
  17. Prepares reports as required for Board meetings and internal review
  18. Travel may be required as a part of job responsibilities
  19. Maintains a functioning cell phone and is accessible through this phone as deemed appropriate by the CFO. A functioning cell phone means that it is charged activated messages checked and mailbox emptied regularly
  20. Reports for work ready to perform responsibilities
  21. Performs duties that directly and/or indirectly impact student performance in Region
  22. Maintains a professional level of confidentiality regarding all ESC matters
  23. Supports the mission goals and objectives of the ESC strategic plan
  24. Upholds and adheres to safety rules and policies of the ESC safety program
  25. Performs professional responsibilities as required by ESC policies processes and procedures
  26. Manages time calendar and job responsibilities to meet deadlines
  27. Meets proficiency levels of required technology skills as outlined by supervisor
  28. Incorporates appropriate technology in daily work and exhibits continual growth in technologies as outlined by supervisor
  29. Performs other duties as assigned
