Job Summary

Key Responsibilities

  • Serve as the primary point of contact for complex issues related to customer invoice uploads portal troubleshooting and process exceptions.
  • Oversee and analyze collections from national international affiliate and government accounts identifying trends mitigating risk and providing detailed reporting on adverse risk exposure to management.
  • Supervise the maintenance and updating of customer accounts ensuring timely resolution of process gaps collaborating with interrelated areas and escalating critical issues to the OTC Account Lead or management as needed.
  • Act as the initial escalation point for reconciliations of assigned customer accounts ensuring accuracy of accounts receivable balances and addressing discrepancies with the responsible departments.
  • Oversee the process of releasing customer orders and blocks ensuring SLA compliance with credit policies and timely review of credit limits within 24 hours.
  • Oversee the proper and timely maintenance of payment records in AR for assigned customers monitoring correct application and proactively addressing issues.
  • Drive and participate in AR process improvement initiatives providing recommendations and leading the implementation of best practices and automation opportunities.
  • Oversee and execute the DOA process for all authorizations of credit limits and order releases verifying that OTC Analysts and Collectors are following compliance policies.
  • Prepare and review periodic customer account statements ensuring accuracy and timely delivery.
  • Support and back up the OTC Account Lead in all cross-functional teamwork activities to improve and/or transform OTC-related processes collaborating with the Commercial PTP Customer Service Master Data Finance IT Legal and Controllership teams.
  • Manage analyze and support complex customer dispute escalations coordinating with internal and external stakeholders through calls video conferences emails and meetings to ensure timely resolution.
  • Support and provide training to OTC Analysts new team members and other business areas as needed facilitating knowledge transfer and team development.
  • Proactively schedule and lead meetings to resolve operational issues ensuring follow-up and closure of action items.
  • Support the stabilization and continuous improvement of billing processes identifying and implementing automation opportunities.
  • Support and back up the OTC Account Lead in developing production reports based on business unit needs and within the established timeframe.
  • Serve as a secondary resource for OTC Administrative Meetings.
  • Take on additional duties as required by management including participation in special projects and process optimization initiatives (such as additional reports purges refunds and bank tracker).

Secondary Responsibilities

  • Assist and provide back-up with Bad Debt reports for Controllership.
  • Monitor house accounts for a back-up on a continuous basis.
  • Act as a subject matter expert and key contact for AR process improvements (DSO and WCT) working closely with cross-functional teams.
  • Build and maintain strong relationships with customers to obtain necessary documentation for ERP compensation processes ensuring resolution of open balances and integrity of AR information (chargebacks and deductions).

Qualifications

  • Professional in Business Accounting Finance or related fields with at least 4 years of experience in Collections or OTC roles including experience managing complex portfolios and escalations.
  • Advanced knowledge of collection techniques AR reconciliation and dispute resolution.
  • Strong analytical skills with experience using advanced analysis tools and reporting.
  • English: level C1. Additional languages are a plus.
  • Proficient in MS Office and high-level expertise in SAP and Oracle depending on business unit requirements.
  • Excellent verbal and written communication skills with the ability to interact effectively with all levels of the organization and external stakeholders.
  • Demonstrated leadership capabilities including mentoring problem-solving and driving process improvements.
  • Proven ability to work collaboratively with cross-functional teams and manage multiple priorities in a fast-paced environment.
