Job Title: Benefits Specialist

Primary Purpose:
Assist the Benefits Coordinator with the Employee Benefits program for the district. Maintain insurance records and reports. Provides special guidance and assistance to employees on various benefits plans.
Qualifications:
Education/Certification:
High school diploma or GED.
Experience and education may be substituted for one another.
Special Knowledge/Skills:
Knowledge of administration of employee benefits programs and laws preferred
Ability to interpret and disseminate insurance and benefits information to individuals and groups
Effective communication and interpersonal skills
Proficiency in typing keyboarding and file maintenance
Proficient in data entry and the use of Excel Word Publisher and Internet
Ability to multi-task
Ability to use mathematical skills and knowledge of basic accounting principles
Strong organizational skills
Experience:
Three years of experience in benefits administration human resources or another related field preferred
Major Responsibilities and Duties:
Benefits Administration
- Assist in the administration of employee benefits and insurance products
- Assist as liaison between all health plan representatives and employee benefit plans pertaining to claims and inquiries.
- Greet and assist all staff in a professional and timely manner when they walk-in.
- Answer and respond to incoming calls and emails. Take reliable messages and route to appropriate staff.
- Process all resignations in Beacon update ACA spreadsheet and terminate all benefits accordingly in Skyward.
- Process all Change of Family Status Notices National Medical Support Notices and Coordination of Benefits Notices within the required timeframe.
- Assist employees with filling out and processing disability accident cancer and death claims.
- Provide quick assistance to employees on a day to day basis with their insurance inquiries and needs.
- Provide timely notice to employees under the requirements of the Consolidated Omnibus Budget Reconciliation Act (COBRA) and Health Insurance Portability and Accountability Act (HIPAA).
- Assist in conducting benefits orientation meetings and enrollment of new employees in benefit plans as well as processing employee assignment changes and terminations.
- Assist with coordination of annual open enrollment process including making group presentations and preparing distributing and receiving materials and forms.
- Assist the Benefits Coordinator with the monthly payroll processing reconciliation of invoices and accounts payable as needed.
- Assists with monthly tracking of hours on all employees as it relates to the Affordable Care Act.
- Assist in maintaining and verifying reports in order to meet IRS guidelines and deadlines of the filing and processing of the 1094C and 1095C forms under the Affordable Care Act.
- Maintain all physical and computerized health insurance records and assist with required data entry.
- Assist with planning organizing and directing the activities related to group health plans distribution of insurance materials forms and documents.
- Assist the Benefits Coordinator in preparing special reports and records as needed.
- Maintain confidentiality of information.
- Contribute to the welfare and effectiveness of the Insurance office by adhering to high ethical standards of performance and interpersonal relationships.
- Works cooperatively with other departments.
- Process and maintain all foreign worker sponsorship.
- Prepare and distribute job descriptions to employees annually.
- Process all I-9 name changes with appropriate documentation and update enrollment site and ACA spreadsheet.
- Assist with Salary Negotiations and Vacancies in Skyward.
- Review salary cards to verify service years for distribution of service pins.
- Cover front desk reception area when needed
- Regular attendance.
- Any other duties as assigned by Supervisor.

Personal computer printer copier fax machine shredder scanner calculator and label writer.

Work with frequent interruptions maintain emotional control under stress. Repetitive hand motions prolonged use of computer prolonged hours of sitting occasionally lifting and moving boxes (up to 30 pounds) bending stooping and reaching over the head.
