Who are we looking for
We have an exciting opportunity for an experienced Executive Assistantwho will provide a high level of professional administrative support to two Operation Managers as part of the Sydney Leadership team.
In this diverse role you will:
- Provide quality and timely administrative support
- Maintain and coordinate an effective calendar and schedule competing demands are effectively managed.
- Proactively manage emails and correspondence draft responses and notes as directed
- Assist in the production and coordination of quality documents including meeting agendas minutes presentations etc
- Manage expense claims and submission
- Organise leadership meetings and events including attendee invites room bookings accommodation catering etc
- Organise all travel arrangements
- Maintain a high level of professionalism and exercise sound judgement in all verbal and written communication
- Maintain a high level of confidentiality and discretion as required
- Provide support to the Sydney Leadership team as required
- Develop and maintain effective relationships with the Sydney Leadership team and other key Managers and support as required
- Working and supporting relationship with the EA supporting RGM and RML Sydney region
- Effective networking and collaboration with other EAs across GHD
Skills and competencies:
- Intermediate to advance Microsoft skills Outlook Teams Word Excel Powerpoint etc
- Advanced communication skills verbal and written
- Excellent editing researching and writing skills
- Highly organised proactive and self-managing
- Great can-do attitude
- Attention to details planning and organising
- Agile resilient and motivated
What will you bring to the team
- 5 years experience in an EA position in a large global professional service firm or similar
- Strong experience in diary management and travel arrangements production of executive-level of documentation and correspondence
- Tertiary qualifications and certificates are desirable
- Proficient in Microsoft Suite and Concur for expenses and travel
Work schedule:Monday to Friday / 8:00 am to 5:00 pm / Hybrid 3 days a week in the office
This job offer can be based either in Makati or Quezon City
