Company/Client Overview:
We are seeking a proactive detail-driven Operations Assistant to function as a versatile operational partner for a growing mobile home park portfolio (700 units). This role is ideal for someone who thrives in fast-moving environments can independently own critical workflows and brings strong problem-solving skills to daily operational and administrative challenges.
You will work directly with the owners and regional/onsite managers to streamline utilities management improve billing accuracy maintain marketing presence across communities and build scalable operational processes. This is not a task-only VA rolewere looking for someone who can think critically improve systems and reduce management load.
Duties and Responsibilities:
Utilities & Operations Management
- Perform monthly water/utility reconciliation comparing master meters vs. sub-meter reads; identify anomalies or potential leaks.
- Conduct digital meter reads ensure accurate posting and maintain clean up-to-date utility records.
- Manage utility account name hygiene: confirm accurate resident utility transfers during acquisitions/dispositions.
- Coordinate with community managers to collect any missing data and resolve discrepancies quickly.
- Maintain and update lot lists property maps and utility spreadsheets across all communities.
Marketing & Community Presence
- Oversee and audit Facebook pages and Marketplace listings for all communities ensuring consistency quality and accuracy.
- Create and publish monthly community newsletters.
- Maintain online presence with simple content creation (FAQs updates flyers etc.) using Canva or similar tools.
- Support home marketing by posting listings to Facebook and MLS (experience preferred but not required).
Process Enablement & SOP Development
- Create and maintain video-based SOPs (screen recordings) for recurring workflows such as Rent Manager processes evictions and utility management.
- Improve existing SOPs and build structure around recurring operations.
Eviction & Compliance (Light Admin)
- Support eviction process workflow (e.g. documentation status tracking filing steps).
- Paralegal or legal admin experience is a plus but not required.
General Administrative Support
- Serve as a reliable point of contact for ad hoc operational requests throughout the workday.
- Assist with scheduling coordination and communication with community managers.
- Support light IT troubleshooting (not required but a plus).
- Maintain organized digital records and documentation across tools.
Minimum Requirements:
Language requirement: Excellent English Communication Skills
Education: Bachelors Degree (ideally)
Experience: 3 years of related experience
- Strong analytical and attention-to-detail skills especially in numbers-driven workflows.
- Ability to work independently with minimal handholding; proactive problem-solver.
- Excellent communication in English (written and verbal).
- Proficiency with spreadsheets (Excel/Google Sheets) required.
- Real Estate experience required
- Comfortable navigating and learning operational software (experience with Rent Manager is a major plus).
- Ability to create simple marketing collateral (flyers social posts newsletters).
- Reliable organized and consistent in follow-through and task ownership.
- Available during U.S. business hours for real-time coordination.
- Experience in property management or utilities operations is a strong advantage.
