Summary: The Support Associate Surgery Scheduler is responsible for scheduling and advising patients of surgical preoperative and post-operative requirements initiating medical clearance appointments ensuring adequate timing of the appointment to minimize disruption to physicians schedule should a cancellation occur due to inability to clear patient as well as facilitating scheduling of coordinated surgeries with other physicians offices and special equipment needs with vendors as necessary. Essential Duties and Responsibilities: - Obtains accurate information from patients and ensure all registrations forms are current and complete;
- Coordinates and schedules surgeries procedures and follow-up appointments as designated by physicians according to established policies and procedures;
- Maintains preference guidelines for assigned providers;
- Prioritizes patient throughput by utilizing comprehensive knowledge of case type sequencing and operating room resources to ensure optimal utilization and time management;
- Facilitates scheduling of coordinated surgeries with other physicians offices;
- Coordinates pre-op assessment and clearance as needed;
- Interacts with patients families physicians and other staff within the clinic and outside facilities providing accurate timely and responsive information;
- Provides patient with pre-operative information sheets to include any required pre-procedural preparation;
- Coordinate processes and timing as required to meet physician and facility requirements to include but not limited to admission orders H&P medical clearance pre-authorization details pre-op labs and x-rays;
- Scheduled diagnostic therapy and other treatments as requested;
- Submits patient clinical and financial information to facility assuring appropriate medical records release if needed;
- Ensure proper documentation is recorded in the EHR;
- Answers and screens telephone calls in a courteous professional manner and document message for physicians or other staff in EHR;
- Maintains accuracy and productivity levels as established by department standards;
- Performs organizes and streamlines operational tasks to reduce the potential for errors;
- Follow all health care privacy (HIPAA) and safety rules and adheres to Dayton Physicians Core Values;
- Travel between locations as needed;
- Other duties as assigned.
Required Education and/ or Experience: High School Diploma or GED. At least one (1) three (3) years of medical experience preferred as well as experience with scheduling. General Skill Requirements: - Excellent oral and written communication
- Working knowledge of Microsoft Office including Word Excel and Outlook.
- Experience working with a Practice Management system.
- Attendance and punctuality are essential requirements of this position to provide excellent customer service to both our internal and external stakeholders.
