PAC Events Manager -Wilsonville High School
This position is for Winter Season Only.
To oversee guest service experience and ensure smooth operations for scheduled activities and events in our Performing Arts Center (further known as the PAC) which are arranged for Faculty/Staff students their families and other school and/or district events that include an Audience:
- Support/coordinate the PAC staffs shared use of the facility
- Communicate with other school/district staff and community members regarding facility use inquiries
- Coordinate official scheduling of facility use
- Communicate/collaborate with Performing Arts Technician to discuss and confirm details of event with event contact
- Maintain order and cleanliness of non-classroom areas in preparation for events
- Communicate with custodial and other staff regarding facility needs for events
- Set up/strike lobby tables chairs displays etc.
- House manage all events that have an audience present
- Flexible work schedule with night and weekend work frequently required
- Run sound and lights for events as requested/instructed by Performing Arts Technician
- Ensure accommodation for patrons with ADA needs
- Coordinate onboarding of tech assistants (for facility rentals) with Human Resources and Payroll
Duties specific to:
- Faculty/Staff curricular events (Drama and Music specific)
- Coordinate any room use when requested to by the Tech Coordinator upon review of the scheduling calendar
- Maintain bulletin boards and displays in public areas as requested
- If something faulty is seen or found in the PAC notify Tech Coord. to create work orders for repairs to facility and delivery of equipment
- Contact Sonitrol to confirm after hours use as required
- Communicate with custodial staff regarding specific cleaning needs as needed and above any instructions relayed in the event reservation through the scheduling system
- Maintain order and cleanliness of non-classroom areas as needed
- Liaise as a Front of House Manager on the date of performances; as it relates to any audience needs
- School/District Events (non theater arts)
- Field any follow up communication with requestor as deemed necessary by Scheduler
- Communicate with the requestor and Performing Arts Tech Coord. regarding schedule and event specifications as needed
- Set up and strike lobby tables chairs etc. if being used for the event
- Open/Run Box Office as required
- Operate lights or sound as needed
- Learn the specifics and be knowledgeable to Open and/or Lock the PAC as needed
- Liaise as a Front of House Manager on the date of performances; as it relates to any audience needs
- Ensure accommodation for patrons with ADA needs (i.e turning on the elevator and adding or removing chairs in the wheelchair aisle)
To coordinate and manage our rental clients with Community Services:
Hourly Timecards (paid from the General Fund/Rental revenue)
- Rentals (outside District user)
- Field follow up communications with renter as requested by Scheduler
- Conduct facility tours with new renters as needed
- Confirm facility needs are added to reservation requests in Facilitron for proper billing
- Create clients rental schedule in conjunction with the renter
- Communicate with Scheduler and/or Community Services regarding schedule charges invoice and return of security deposit
- Submit suggested custodial schedule for weekend events through Facilatron system
- Communicate with renter and Performing Arts Tech Coord. regarding schedule and event specifications
- Coordinate onboarding and Frontline for tech assistants with Human Resources and Payroll
- Review WHS event staff timecards before submitted for payroll
- Work as Front of House Manager or contract another staff person to do so while outside renters onsite including times when no audience is in attendance such as a Dress Rehearsal
