Job Summary

This is a remote position.

Onboarding & Distributor Setup

  • Submit onboarding requests to distributors (Big 3 and others) and ensure required documentation is complete.

  • Track and update onboarding progress in the CRM DESK and internal systems.

  • Follow up proactively on outstanding onboarding steps to prevent delays.

  • Resolve common onboarding blocks or escalate when needed.

Ticket Management (DESK)

  • Manage update and close support tickets in DESK (Pipelines ticketing system).

  • Document all actions and next steps clearly within each ticket.

  • Maintain timely responses and ensure no ticket stalls without follow-up.

CRM & Documentation Accuracy

  • Update CRM records related to onboarding member details pricing flags and PID status changes.

  • Upload required documents including LOFR files Provider Authorizations MAP requests and related onboarding forms.

  • Maintain accurate organized records so onboarding histories can be easily referenced.

Internal Communication & Support

  • Provide timely responses via CLIQ for real-time internal support needs.

  • Communicate onboarding status updates to Account Managers and internal teams.

  • Coordinate with suppliers distributors and internal stakeholders to resolve onboarding or pricing-related inquiries.

Data & Trend Tracking

  • Identify repeated onboarding issues or ticket trends and flag them to leadership.

  • Track ticket volume onboarding milestones and recurring blockers to support continuous process improvements.


Requirements

  • Experience in contract administration procurement GPO operations supply chain onboarding or a similar administrative function preferred.
  • Proficiency with CRM platforms ticketing systems and internal admin tools.
  • Strong verbal and written communication skills.
  • High attention to detail with consistent follow-up discipline.
  • Ability to manage multiple onboarding tasks in a fast-paced environment.
  • Strong organizational skills and ability to document information clearly and accurately.
  • Familiarity with GPOs distributor networks or medical supply chain preferred but not required.

Required Skills:

Pharmacy background: active pharmacist or pharmacy-technician license or 4 yrs hands-on experience in pharmacy sales operations compounding or pharmaceutical distribution. 4 yrs account-management / commercial operations experience in pharma medical-supply medical aesthetics or medical related fields. 2 yrs providing customer service to medical practices Advanced Excel/Sheets (look-ups pivots) and familiarity with CRM/ERP (NetSuite Salesforce ShipStation etc.). Proven history of exceeding revenue or satisfaction targets. Clear confident communicator able to make time-critical decisions with incomplete data. Experience communicating directly with business owners and providing consultative selling
