The Human Resources department at INSEAD focuses on talent development and management implementing strategies to attract train and retain top professionals. It plays a key role in promoting a culture of learning and innovation within the institution.

INSEAD is seeking a Talent Administration Officer to join our Human Resources Department. This is a full-time permanent contract position (CDI) based at our Europe Campus in Fontainebleau France. A hybrid working model is in place 3 days on campus 2 days from home.

About the job

Reporting to the Associate Director Talent Development you will provide essential administrative and data management support across both Talent Acquisition (TA) and Talent Development (TD) functions. This is a global position serving all campuses.

Your role within the team

Talent Acquisition Team:

  • TA KPI and Data tracking - data management/ prepare reports on TA KPIs e.g. time to fill candidate source etc. and to prepare presentation decks; generate report via HRIS system
  • Job advertisement (French job boards HRIS) - Format Translation of English to French or vice versa Publish Communications
  • Manage and organise the mailbox
  • Create folders in TA email folder and put related emails into corresponding folders
  • Manage IRF Process via Docusign and inbox
  • Manage all Internship administration globally
  • (All except internship administration are daily activities)

Talent Development Team:

Talent Development administration:

  • Follow-up on staff training enrolments including collecting and processing all required registration documents.
  • Prepare and send training invitations and communications to participants
  • Review and verify training-related agreements or quotations
  • Create and process purchase orders
  • Carry out regular administrative follow-ups for training and Skills Mapping project
  • Manage the shared email inbox and ensure timely responses
  • Follow-up with providers to facilitate the roll-out of training sessions
  • Follow-up track and consolidate data required for the various dashboards and assessments or feedback

Training logistics:

  • Coordinate all logistics for on-campus training sessions including room reservations hotel bookings catering/breaks materials and other onsite needs.
  • Open and close training sessions on-campus to ensure the trainings run smoothly

The ideal candidate profile

  • BTS or Bachelor/Bachelors degree in an administrative field
  • Well organised and attention to detail
  • Highly client focused; take ownership for solving clients demands and ensuring timely and adequate answers
  • Works autonomously and collaboratively; a team player who works effectively with others readily share information and support a collaborative work environment
  • Able to multi-task
  • Culturally sensitive and comfortable working in a multicultural international environment especially with international candidates
  • Proficient in Excel and HRIS systems e.g. Oracle Workday etc.
