General Summary of the Position
The Front Office/Administrative Assistant /Receptionist fulfills the mission of the Catholic school by assisting with general office work and the general health needs of students. The Receptionist has decision-making responsibilities within the scope of the job and in keeping with school policies.
Essential Duties and Responsibilities of the Position
- Supports and upholds the philosophy of Catholic education and the mission of the school.
- Acts as a witness to Gospel values by modeling the teachings of the Catholic Church.
- Adheres to the Code of Conduct and policies and procedures of the school and the Catholic Diocese of Dallas.
- Provides a professional and welcoming environment at the reception and front office by answering the phone assisting students greeting visitors and managing the check-in process.
- Communicates effectively and thoughtfully with all members of the school community including school administrators parents students and alumni.
- Maintains current and accurate accounts according to school policy including tuition tuition assistance financial records and academic records.
- Possesses knowledge and experience of FACTS and/or a Student Information Service or demonstrates the ability to learn such systems.
- Plays a vital role in the daily operations of the school by supporting students staff parents and visitors.
- Understands the unique rhythm and needs of a school environment and can manage multiple responsibilities and procedures with professionalism warmth and efficiency.
- Assists in managing the day-to-day flow of the school activities to ensure smooth operations.
- Works collaboratively as a team member and contributes to a positive school culture.
- Abides by the Confidentiality Policy set forth in the Catholic Schools Office Diocese of Dallas Handbook of Policies and Procedures for Elementary and Secondary Schools
- Manages telephone message system (office hours inclement weather and other recorded messages).
- Demonstrates basic clerical competence and the ability to operate standard office equipment.
- Processes incoming mail documents books materials and supplies following established procedures.
- Maintains inventory of supplies and materials to ensure availability.
- Enter data into school systems following established procedures.
- Assists school nurse and provides for childrens personal needs such as attending to those who are sick or hurt; administering medications as prescribed by a physician in accordance with training and authorization as needed.
- Arrives punctually is prepared for each school day and maintains regular attendance.
- Assists students parents and others with routine concerns referring non-routine items to principal and assistant principal.
- Reads comprehends and applies job-related written material and makes decisions in accordance with applicable school system policies and procedures.
- Demonstrates professionalism in conduct demeanor and work.
- Meets staff development requirements as outlined by the Diocese or campus administration.
- Performs other duties as assigned by Principal or Assistant Principal
- Other duties as assigned.
Position Requirements
Knowledge Skills and Abilities:
- Knowledge of the basic teachings of the Catholic Church
- Strong written and verbal communication skills
- Ability to work collaboratively within school community
- Ability to manage multiple tasks with accuracy and composure
- Strong organizational skills including the ability to present information clearly
- Proficiency in job-appropriate technology
- Strong critical-thinking and planning skills
Education and Experience:
- High school diploma or equivalent
- 2 years experience as a receptionist or related field
- Understanding or experience using a Student/School Information System i.e. FACTS-RenWeb
Special Requirements:
- Ability to attain a CPR/AED certification in 7 months
- Practicing Catholic in good standing
Physical Requirements Specific to the Job:
- Required to lift or carry equipment and supplies to a minimum of 25 pounds
