Job Summary

Position Objective

The Enrollment Services Associate isresponsible for providing excellent customer service with a student centered equity mindset to all Clover Park Technical College students faculty staff and visitors. The successful candidate supports the Colleges mission of Educating Tomorrows Workforce by enrolling students in college programs assisting students modify their class schedules reviewing their transcripts and other placement measures for entrance requirements and answering inquiries via telephone email in-person and other approved communication/service channels following CPTCs policies and procedures as they relate to Enrollment Services. This job description has been designed to indicate the general nature and level of work performed by employees within this classification. Duties and Tasks (Essential Functions)

Duty: Perform admissions enrollment transcript evaluations verifications and other department processes.
Tasks include:

  • Process admission applications to include fraudulent reviews and research.
  • Process enrollment transactions.
  • Processing transcript requests. and enrollment/degree verifications.
  • Assist in the drop for non-payment process.
  • Assist in manual record conversion of student records
  • Credentials (transcript) evaluations prior learning assessment and other credit posting.
  • Assist is awarding and documenting credentials earned.
  • Use queries and other tools to pull and share requested data related to Enrollment Services and as directed by supervisor.
  • Enter student data into college student management system and review transactions for accuracy.
  • Troubleshoot transactional or processing errors related to Enrollment Services i.e. unable to register account holds etc.
  • Answer inquiries in various modalities regarding admissions registration and other department and college services and processes.
  • Provide excellent customer service following CPTC C.A.R.E.S.
Duty: Other duties as assigned
Tasks include:
  • Filing of student records
  • Actively contribute to the colleges strategic plan the enrollment management plan and the EDI strategic plan.
  • Archive student records as needed.

Minimum Qualifications

  • High School Diploma
  • Minimum or one year experience in a customer service role.
  • Experience in data entry with attention to detail and accuracy.
  • Intermediate experience and knowledge of computer applications such as Word Excel and SharePoint.
  • Ability to work under pressure and handle high volume of services including stressful situations and interactions.
  • Ability to problem-solve and critically think organize prioritize and recognize patterns.

Preferred Qualifications

  • Associates degree
  • Experience working in a college office environment preferably Student Services.
  • Experience with Washington State Community and Technical College and Student Management System or PeopleSoft
  • Immediate experience and knowledge of database SQL or Access.
  • Ability to speak read and/or write in a second language i.e. Spanish Korean or Russian.

Our college has a rich history of professional and technical education dating back to the 1940s when Clover Park School District established aWar Production program training civilians as auto mechanics aircraft-service mechanics ship-fitters welders and blueprint readers. Now CPTC offers more than forty programs in Aerospace Advanced Manufacturing Health Sciences Human Services Business Hospitality Science Technology Engineering Transportation and Trades.
