Generations Southeast Administrative Clerk II

Pay Grade(s): 5 ($20.67 DOE)
Purpose: Administrative Clerk will support and provide a full range of clerical assignments for the Generations Southeast Community Learning Center.
Essential Functions. An individual in this role must be able to perform the following functions with or without reasonable accommodation:
- Provide a full range of reception services. Respond to requests for information from the public or employees by answering the phone greeting the public mailing program information and making referrals.
- Pick up receive open date stamp and deliver mail and/or other materials.
- Update files and maintain a variety of records such as addresses telephone numbers vacation schedules attendance numerical logs ledgers and client files.
- Photocopy documents collate assemble and distribute materials.
- Type or produce reports or correspondence utilizing word processing spreadsheet and other business software.
- Receive review and compare documents forms or applications for completeness and accuracy.
- Responsible for follow-up work to ensure all applications are complete with all necessary data and supporting documents.
- Perform complex data entry tasks for which there is a moderate variation of formats and procedures and with general instructions for coding and entering data check and correct entry for input errors.
- Gathers and records statistical information for reporting purposes.
- Provide assistance and support to room rentals
- Assists with computer set-up(s) for room renters.
- Assists with multimedia set-ups: PA system/audio/video/wireless internet & teleconference phone Prepares and assembles large mail-outs of program materials.
- Assists prospective clients and co-workers by explaining steps appropriate forms procedures and program requirements for transactions services and other program activities.
- Monitor and maintain office supplies and materials.
- Assist with maintaining database for program.
- Assists in scheduling and general setting up tasks for meetings in local communities as requested.
- Assist with special projects as assigned.
- Other related duties as assigned.
Knowledge Skills & Abilities. A comprehensive set of capabilities required to perform job tasks effectively:
- Ability to understand and follow directions as given
- Be able to follow written or verbal directions.
- Ability to work with minimal supervision.
- Ability to push and lift heavy materials.
- Ability to write reports using a computer.
- Must possess a pleasant personality and character in dealing with the public staff instructors and students.
- Must maintain a professional appearance as per duties assigned
Minimum Qualifications (education experience skills):
- High School Diploma or GED.
- Certified Computer Training in MS Word MS Excel and MS Outlook.
- 1 year of experience (paid or volunteer) performing duties related to office or clerical support.
- Minimum typing speed of 40 words per minute.
- Must be 21 years of age with a Valid Drivers License (may be a requirement for some appointments.)
Physical Requirements. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job with or without reasonable accommodation:
- The majority of work is performed in a professional office setting and is generally sedentary requiring routine walking standing bending and carrying of items weighing less than 40 lbs.
Work Environment. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job:
- Some travel may be required on small aircraft or ferry.
- Certain positions at Tlingit and Haida may have exposure to certain hazardous materials or conditions. The supervisor will review these if applicable.
