Duties and Responsibilities:

Band A

  1. Under general supervision in the Office of Planning Policy and Assessment (OPPA) support the Colleges mission of continuous improvement strategic planning and student success.
  2. *Assist in monitoring progress toward the Colleges strategic goals and help ensure improvements are implemented.
  3. *Support the coordination of institutional effectiveness calendars (e.g. program review timelines assessment cycles follow-up actions) ensuring timely collection analysis and reporting of data.
  4. *Assist with data entry organization and reporting data using institutional effectiveness tools (such as dashboards or software tracking systems) including preparing basic summaries and data visualizations to support planning and program review processes.
  5. *Assist in collecting organizing and clearly communicating data on the Colleges key performance measures (such as graduation retention and transfer rates) and help prepare concise data briefs or summaries to support decision-making.
  6. *Assist with tracking and following up on action plans from program review and governance committees.
  7. *Maintain and provide technical support for institutional effectiveness systems (e.g. Accreditation Management Software Assessment Management System dashboards) and collaborate with vendors or IT staff on routine issues.
  8. *Assist in gathering and organizing evidence for accreditation and institutional reporting including preparing documentation for annual reports mid-cycle reviews and program review processes.
  9. *Assist in maintaining documentation related to institutional effectiveness processes (e.g. data definitions workflow guides or reporting procedures) to support consistency and data integrity.
  10. *Provide basic training and support to faculty and staff on institutional effectiveness systems data dashboards and assessment processes to strengthen campus capacity for using evidence.
  11. *Assist with coordinating the production of the college catalog.
  12. *Maintain and disseminate institutional effectiveness resources and information via an accessible public webpage.
  13. Other duties as assigned.


Band B

  1. Under general supervision in the Office of Planning Policy and Assessment (OPPA) support the Colleges mission of continuous improvement strategic planning and student success.
  2. *Lead efforts to integrate evidence into planning monitor strategic goals and keep the institutional improvement cycle moving.
  3. *Manage institutional effectiveness calendars (e.g. program review timelines assessment cycles follow-up actions) and ensure alignment with planning requirements. Ensure timely collection analysis and reporting of data.
  4. *Design maintain and organize institutional data and reports to support program review and continuous improvement efforts using tools such as dashboards or software tracking systems including synthesizing data into clear narrative summaries that highlight trends gaps and areas for improvement.
  5. *Develop and maintain documentation for institutional effectiveness processes (e.g. data definitions reporting standards assessment workflows) to ensure consistent and accurate use of institutional data across campus.
  6. *Track and analyze program review action plans; monitor implementation escalate concerns and support resource decisions.
  7. *Coordinate the evaluation of institutional set-standards and aspirational goals; provide annual summaries and highlight areas needing improvement including identifying notable trends and communicating implications for planning and accreditation.
  8. *Facilitate campus conversations about student achievement data to inform planning and decision-making.
  9. *Oversee the use of institutional effectiveness software systems (e.g. Accreditation Management Software Assessment Management System dashboards); serve as the main liaison with vendors to resolve issues and enhance functionality.
  10. *Coordinate the collection organization and documentation of accreditation evidence for annual reports mid-cycle reviews and institutional reporting. Collaborate with units to ensure evidence accuracy completeness and timely submission.
  11. *Develop and deliver training presentations and guidance to faculty staff and administrators on using data assessment results and institutional effectiveness systems to support evidence-based decision-making.
  12. *Coordinate the production of the college catalog.
  13. Represent the College on UH system-wide institutional effectiveness groups and contribute insights to align campus practices with system goals.
  14. Other duties as assigned.


Minimum Qualifications:


Band A

  1. Possession of a baccalaureate degree in Education Business Applied Business and Information Technology Communications Information Systems Research Methods or a related field and 1 year of progressively responsible professional experience with responsibilities for data analysis planning program coordination or assessment; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Functional knowledge of principles practices and techniques in the area of institutional planning program review data analysis or assessment support demonstrated by knowledge understanding and ability to apply relevant concepts and terminology.
  3. Functional knowledge and understanding of principles theories federal and state laws rules regulations and systems associated with institutional effectiveness data collection/management survey administration and organizational planning within higher education.
  4. Demonstrated ability to recognize problems identify possible causes and resolve the full range problems that may commonly occur in the area of data tracking reporting or program review follow-up processes.
  5. Demonstrated ability to understand oral and written documentation write reports and

procedures and communicate effectively in a variety of situations.

  1. Demonstrated ability to establish and maintain effective working relationships with internal and

external organizations groups team members and individuals.

  1. Demonstrated ability to operate a personal computer and apply word processing spreadsheets databases or presentation tools.
  2. Ability to meet critical deadlines and be flexible to on-going changes.
  3. Ability to work on moderately complex assignments with supervision.
  4. Strong organizational and problem-solving skills.


Band B

  1. Possession of a baccalaureate degree in Education Business Applied Business and Information Technology Communications Information Systems Research Methods or related field and 3 years of progressively responsible professional experience with responsibilities forinstitutional effectiveness planning program coordination and/or review; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Considerable working knowledge of principles practices and techniques in the area of institutional effectiveness program review data analysis assessment systems and educational planning as demonstrated by broad knowledge of the full range of pertinent standard and evolving concepts principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws rules regulations and theories and systems associated with higher education policies reporting requirements and institutional systems relevant to planning evaluation and improvement.
  4. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective innovative and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing verbally and by preparation of reports and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team leaders and members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. Proficient in the use of spreadsheets presentation software databases and reporting tools.
  9. Ability to manage complex projects and work independently.


Desirable Qualifications:


Band A

  1. Knowledge of institutional effectiveness or assessment systems (e.g. Anthology dashboards).
  1. Knowledge of culturally relevant planning and evaluation practices in Hawaii.
  2. Experience supporting program review or institutional planning processes.

Band B

  1. Masters degree in Business Applied Business and Information Technology Communications Information Systems Research Methods or a related field.
  2. Experience using institutional effectiveness or assessment systems (e.g. Anthology dashboards).
  3. Knowledge of culturally relevant planning and evaluation practices in Hawaii.
  4. Experience supporting program review or institutional planning processes.
  5. Active membership in relevant professional organizations such as the American Institutes for Research (AIR) or the Association for the Assessment of Learning in Higher Education (AALHE).
  6. Demonstrated leadership in institutional effectiveness projects or initiatives.
