We are seeking a dedicated organized and personable Medical Receptionist to join our healthcare this role you will be the first point of contact for our patients and represent the heart of our medical practice. Your primary responsibility will be to ensure every patient feels welcome valued and cared for while ensuring the smooth functioning of administrative processes. Responsibilities
- Greet and assist patients visitors and families with professionalism and compassion.
- Schedule and manage appointments ensuring accuracy and efficiency in the providers calendar.
- Handle incoming and outgoing communication including phone calls emails and messages in a timely manner.
- Maintain an organized and confidential filing system ensuring compliance with healthcare regulations (e.g. HIPAA).
- Verify patient information insurance details and processing paperwork for medical visits.
- Collect co-pays process payments and maintain accurate financial records when applicable.
- Assist with patient check-ins and check-outs including updating medical records and providing necessary forms or instructions.
- Coordinate with clinical staff to manage patient flow and minimize waiting times.
- Maintain the cleanliness and organization of the reception area.
- Attend team meetings and contribute to solutions that enhance operations and patient satisfaction.
- Proactively identify ways to improve office efficiency and the patient experience while adhering to best practices.
Qualifications
- High school diploma or equivalent required; additional education or certifications in medical administration or healthcare are a plus.
- Proven experience as a receptionist administrative assistant or similar role within a healthcare or medical setting preferred.
- Strong communication and interpersonal skills to interact with a diverse population of patients and colleagues.
- Proficiency in administrative tools including Microsoft Office Suite and healthcare scheduling or Electronic Medical Records (EMR) software.
- Knowledge of medical terminology and procedures is welcomed but can be developed on the job.
- Ability to manage multiple tasks prioritize responsibilities effectively and adapt quickly in a fast-paced environment.
- Strong attention to detail and problem-solving skills to maintain accuracy and quality in administrative tasks.
- A friendly patient-centered approach with a commitment to creating a welcoming and inclusive healthcare environment.
Day-to-day
- Open and prepare the reception area at the start of each workday.
- Welcome patients as they arrive provide them with instructions for their appointments and answer their inquiries.
- Process patient registration by collecting necessary information updating medical records and verifying insurance.
- Efficiently manage the flow of communication and appointment scheduling via phone and email.
- Liaise closely with medical staff to ensure the office runs smoothly and patients receive timely care.
- Troubleshoot minor issues with scheduling billing or patient concerns escalating when necessary.
- Maintain records update patient files after each visit and ensure database accuracy.
- Foster a positive clinic environment by ensuring all interactions align with professionalism courtesy and utmost respect.
