The East Asia and Pacific Region (EAP) EAP Energy Unit (IEAE1)
The EAP region serves 22 client countries with a total population of about 2 billion. Clients range from large IBRD countries such as China Indonesia Vietnam and the Philippines; to smaller IDA countries (or IDA/IBRD blend countries) such as Cambodia Laos Mongolia several Pacific Island states Papua New Guinea and Timor-Leste. EAP has made spectacular progress towards achieving the WBGs twin goals eliminating extreme poverty and boosting shared prosperity extreme poverty declined faster than any other region and the income of the bottom 40 percent increased substantially. Such a rapid transformation has made EAP one of the most dynamic regions in the world. However it also faces significant challenges such as managing the largest shift in rural-to-urban population in human history coping with rising inequality addressing large infrastructure gaps dealing with climate change and building human capital.
Energy & Extractive Global Practice Context:
The EAP Energy Unit (IEAE1) supports clients in the region in addressing diverse energy sector challenges including sector reform utility efficiency and restructuring renewable energy energy efficiency energy access and regional particular since the region represents a substantial portion of global greenhouse gas emissions and coal consumption the engagement focuses on expanding access to clean and mordern enegy services facilitating energy transition and cross-border power trade in the region while meeting rising energy demand to sustain economic development.
Job Duties and Responsibilities:
Provide full administrative high quality support to the Practice Manager and ensure the smooth operations of the office setting and managing priorities and the workflow of the PM.
Effectively handle the PMs calendar and ensure relevant documents are available for meetings. This includes but is not limited to scheduling appointments independently resolving scheduling conflicts screening and prioritizing incoming correspondence and monitoring activities to ensure appropriate workflow monitoring and following up on issues and priorities of concern to the PM and ensures that relevant staff members are informed using initiative and good judgment.
Assists the PM with mission planning scheduling and booking including mission meetings and liaising with the program assistants of Country Directors and other colleagues required for mission planning.
Prepare or edit standard sections of reports and data tables/sheets as delegated; exercise quality assurance function for project documents by ensuring adherence to departmental and institutional guidelines.
Ensure program oversight and quality enhancement of Administrative and Operational support services.
Navigate the operations workspace to ensure updated milestones deliverables and other project roadmap requirements; participate in developing project/product timelines in line with institutional guidelines on compressed timelines.
Ensure e-filing and proper classification of official documents and project-related data
Monitor consultant commitments throughout the year and help close commitments at the end of the financial year.
Monitor task budget/trust funds for specific projects on behalf of the team.
Provide quality procurement support to the Unit: assist Unit TTLs in hiring and managing contractural workforece and firm contracts using RFXNow Admin Portal SAP and HR Guidelines
Organize unit-level logistical planning for various meetings staff retreats and workshops including online and in-person events panels and conference calls; organize and coordinate project-related meetings for TTLs
Support work collaboratively and liaise frequently with team members both at headquarters and in the field as well as external counterparts.
Support HR recruitment processes by scheduling interviews and organizing necessary logistics.
Coordinate logistical arrangements for onboarding new staff including submitting requests for office space office IDs IT resources and other necessary arrangements.
Stays informed on technological developments as introduced by the World Bank Group
Perform other ad-hoc duties as assigned by the Managers
