This is NOT a remote position the job requires in-person work.

This position is created specifically to support the Kahoiwai: Reclaiming Hawaiian Knowledge Sovereignty project funded by the Mellon Foundation. The position is located at the University of Hawaii Maui College and is renewable annually for the duration of the grant pending funding availability and performance review.

Duties and Responsibilities:

  1. **Provide administrative support to the project including scheduling meetings managing multiple project calendars and handling correspondence.
  2. **Operates fiscal and procurement functions including purchasing equipment and supplies communicating directly with vendors and serving as a liaison between vendors and institutional offices such as the college business office and University of Hawaii (UH) central accounting offices.
  3. **Coordinates travel arrangements for project staff and participants including securing approvals managing logistics and ensuring compliance with institutional travel policies and procedures.
  4. **Track project expenses and assist the Project Director in budget management and reporting.
  5. **Assist in consultations with Hawaiian language and cultural experts to ensure the Hawaiian Knowledge Organization System (HKOS) reflects Hawaiian perspectives and cultural rigor including scheduling taking notes meeting minutes and related documentation and correspondence.
  6. **Assist in the collection organization and analysis of data.
  7. **Assist in the research of Olelo Hawaii terminology and descriptions for HKOS and the Hawaiian Language Newspaper Index.
  8. **Assist in organizing and coordinating community engagement sessions working groups feedback forums public presentations summits and other outreach and engagement activities to promote the project and its objectives.
  9. **Oversee and respond to all correspondence related to the project ensuring timely and effective communication with team members stakeholders and community partners.
  10. **Assist in drafting and coordinating project-related communication including reports presentations updates and the project website.
  11. Other duties as assigned.

Minimum Qualifications:

Education and Professional Work Experience:
  • Possession of a baccalaureate degree in Hawaiian Studies Hawaiian Language Humanities Business or Social Science fields or related field or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
Knowledge Skills and Abilities:
  • Functional knowledge of principles practices and techniques in the area ofproject coordination office administration and communication demonstrated by knowledge understanding and ability to apply concepts and terminology.
  • Functional knowledge and understanding of principles theories federal and state laws rules regulations and systems associated withadministrative and fiscal operations in a higher education or similar institutional setting.
  • Demonstrated ability to recognize problems identify possible causes and resolve the full range of problems that may commonly occur in the area ofprogram administration scheduling procurement and communication workflows.
  • Demonstrated ability to understand oral and written documentation write reports and procedures and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team members and individuals.
  • Demonstrated ability to operate a personal computer apply word processing software and use spreadsheets and Google applications.

Supplemental Minimum Qualifications:

  1. Demonstrated ability to take initiative on projects and quickly learn new tools/skills.
  2. Demonstrated ability to manage multiple tasks and meet deadlines accurately.
  3. Excellent organizational and communication skills for working with staff administrators and community partners.
Desired Qualifications:
  1. Proficiency (intermediate or higher level) in reading writing and speaking Olelo Hawaii.
  2. Experience in project coordination and administrative support.
  3. Experience in preparing processing and tracking travel authorizations reimbursements and related documentation.
  4. Experience with purchasing procurement or fiscal recordkeeping in an institutional or business setting.
  5. Experience using university or state travel systems (e.g. Concur UH Kuali or similar platforms).
  6. Demonstrated knowledge of the Native Hawaiian language history politics culture practices and contemporary issues.
