Health Information Specialist II - Arlington Location

About the Role:
We are looking for an employee who would be responsible forproviding clerical support to the Health Information Services Department and the providers at Physicians East P.A.
Supervision Received:
Reports to the Health Information Services Supervisor; Health Information Services Manager; Chief Operations Officer.
Supervision Exercised:
None.
Typical Physical Demands:
Work requires physical hand dexterity and full range of motion. Requires some bending stretching and light lifting. Requires sitting for long periods of time. Requires ability to hear within normal range. Requires ability to work under stressful or emergency situations with high concentration and energy level.
Typical Working Conditions:
Normal office environment. Some contact with staff providers and the public.
Responsibilities:
1. Maintain desktops within the EMR system for external copies. Print/fax/mail office notes letters and lab work as directed by provider. Ensure STAT requests are handled as a priority.
2. Maintain LinkLogic error log to ensure documents go into the correct patient chart.
3. Monitor for failed faxes daily and re-process. May include contacting office for correct fax number and sending a request to update the directory.
4. Process patient dismissals for all locations.
5. Assist with weekly delinquent documentation provider notification.
6. Notify IS when updates need to occur to the provider service directory.
7. Monitor and order supplies as necessary for the HIS Department.
8. Send blank documents to the EMR to remove unnecessary dictation placeholder numbers.
9. Make corrections to Transcription system entries (example correcting wrong work type medical record number etc).
10. Coordinate between clinical staff/providers and transcriptionists to ensure STAT dictations are completed in a timely manner.
11. Prep medical record information from the Arlington location for scanning.
12. Assist the Scanning Department with quality checks.
13. Remove items from the health information services fax machine and forward to the appropriate location.
14. Answers the medical records phone tree and assist callers with medical record requests in accordance with established procedures.
15. Processes release of information requests in accordance with legal requirements and in a timely manner.
16. Document the release of information within the EMR.
17. Process electronic requests received via the Patient Portal.
18. Calculates the appropriate medical record fee charge.
19. Prepare scan and index documents into the EMR in accordance with department standards.
20. Ensure STAT documents are scanned as a priority.
21. Communicate with providers when documents do not meet scanning requirements.
22. Assist providers and staff with scanning needs. This may include reviewing work to locate items that are urgently needed.
23. Maintain patient confidentiality.
24. Maintain a team approach with staff and patients.
25. Enhance professional growth and development through in-service meetings.
26. Perform other job duties as needed.
Location & Commitments:
Permanent FT/PT/Temp/PRN role based at our Greenville location Monday-Friday 8a.m. 5 p.m.
Overtime may be required to ensure patients are taken care tasks are completed and calls are returned in a timely manner.
Weekend work is rare but can occasionally be necessary.
Candidate Requirements:
Minimum education level of high school diploma with at least two years of experience in a medical record setting or similar health environment. Associate degree in office technology/health information management or related field or equivalent preferred. Experience in the release of health information and medical records scanning preferred. Knowledge of word processing styles and ability to apply in projects. Ability to operate a computer and office machines (copier fax machine etc). Excellent written and oral communication skills. Ability to handle multiple tasks at one time. Ability to concentrate. Excellent listening skills. Excellent hand eye and auditory coordination.
