Receptionist Law Office
Job Type: Full-time
Salary Range: $45000 $55000
Our client is an award-winning firm dedicated to providing exceptional customer service in family law estate planning and fertility law across British Columbia and Alberta. They are seeking an outgoing team-oriented Receptionist who can contribute to the firms positive and collaborative culture.
Position Overview
The Receptionist will serve as the first point of contact for clients and visitors ensuring a professional and welcoming environment. This role requires strong communication skills attention to detail and experience in reception and administrative support within a law firm setting.
Key Responsibilities
Client Service & Communication
- Greet clients vendors and visitors professionally and courteously.
- Manage incoming calls for the Vancouver office and provide backup support for Calgary.
- Respond to reception emails promptly and triage inquiries.
- Support client intake: booking consultations sending Teams links running conflict checks opening files and coordinating with lawyers and staff.
Administrative & Operational Support
- Provide administrative assistance to the Vancouver team COO and Marketing Manager.
- Draft and format documents and maintain accurate electronic records.
- Update shared forms and manage online scheduling via Acuity.
- Collaborate with reception team members and assist with onboarding and cross-training.
- Coordinate cheque handling and courier arrangements.
Office & Facilities Support
- Maintain reception and boardroom areas to ensure cleanliness and professionalism.
- Oversee kitchen and copy room organization and liaise with vendors for supplies and equipment.
- Monitor inventory and place orders as needed.
- Act as tenant floor warden managing emergency procedures and fire safety compliance.
Professional Standards
- Adhere to company policies and contribute to a positive workplace culture.
- Demonstrate strong organizational skills and ability to prioritize tasks.
Qualifications & Skills
- Administrative designation or working toward one preferred.
- Minimum 3 years experience as a receptionist or LAA/administrator in a law firm.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and ability to work collaboratively as a team player.
- Organized and meticulous capacity with strong attention to follow-up and detail.
- Proficiency in MS Word Excel Outlook Adobe MS Teams; experience with Unity is an asset.
- Ability to multitask and work collaboratively in a fast-paced environment.
- CPR and First Aid certification required (training provided if needed).
- Full-time in-office attendance required; occasional overtime may be necessary.
