As the Administrative Assistant 3 (AA3) you will report directly to the Government Relations Director and are responsible for tracking and coordinating agency-request legislation bill analyses and fiscal notes during the legislative session. You will manage partnership projects with other agencies and organizations researching performance and budgetary outcomes preparing presentations and briefing materials and assist with calendar management for the Government Relations Director. Providing essential support to the Government Relations team by ensuring smooth day-to-day operations and facilitating effective engagement with public sector partners tribal governments and community this role you are responsible for managing schedules coordinating meetings preparing materials and maintaining organized records related to legislative and policy activities. This position plays a key role in helping the team stay responsive organized and aligned with agency priorities in a dynamic policy environment.
This full-time/permanent opportunity is a hybrid position with an expectation of in-person attendance for supporting Legislative town halls and any other meetings or special events that may require support in person.Duties
In this role you will be relied upon to provide office support to managers and supervisors. Tracking assignments for the Commissioner Government Relations Director and Legislative & Executive Policy Analyst following up with internal and external stakeholders as needed to complete projects and report status. Additionally you will prepare process and track all personnel and position actions complete all HR paperwork and coordinate timelines (i.e. recruitment hiring personnel actions position descriptions yearly evaluations service awards etc.) and review personnel requests for content and accuracy requesting revisions as necessary.
Some of what youll enjoy doing:- Maintain and update the Government Relations Directors calendar.
- Schedule internal and external meetings for the Government Relations Director with elected officials governors office staff tribal representatives and agency partners.
- Track agendas and briefing materials for the Government Relations Director.
- Coordinate with legislative offices the governors office tribal governments and agency partners.
- Coordinate logistics for legislative town halls legislative visits and stakeholder gatherings.
- Coordinate support between the Governors casework staff Legislative office case work and the agencys constituent services team.
- Maintain time sheets and leave requests; monitor and reconcile leave balances to timesheets.
- Develop and implement office processes and procedures; gather and compile data; maintain data files for programs; compile and complete projects reports and special assignments as directed by the divisional executive leadership.
- Actively engage in and provide administrative support for additional divisional activities (i.e. special assignments committee work recognition activities telework document tracking IT equipment tracking needs SharePoint manager etc.). This includes representing and acting on behalf of divisional leadership as appropriate in these activities.

Required:
Option 1: Four (4) years equivalent education/experience.
Option 2:High school diploma or equivalent AND three (3) years of clerical office or administrative experience.
Option 3:Associates degree in business administration public administration or a closely related field may substitute for experienceANDone (1) year of experience as an Administrative Assistant 2.
OR:Two (2) years as an Administrative Assistant 1.
Required experience includes:
Policy Interpretation & Application: Ability to understand and implement administrative policies effectively.
Standards & Procedures Development: Ability to create and enforce standards and procedures.
Program Coordination & Management: Ability to organize and direct program activities.
Personnel Coordination: Ability to manage recruitment selection and promotion processes.
Liaison & Communication: Ability to relay assignments and request status updates.
Interdepartmental Coordination: Ability to collaborate with departmental staff on administrative matters.
