About the Role

Were seeking a detail-oriented legally minded Administrative Assistant to support a U.S.-based financial advisory team specializing in estate planning and asset protection. The successful candidate will manage all aspects of quitclaim deed preparation execution and recording ensuring accuracy compliance and clear communication with clients internal stakeholders and county offices.

This role is well suited to Paralegals Legal Assistants or Real Estate Administrators with strong document management and compliance experience. Youll be part of a purpose-driven team helping families safeguard their homes and legacies through precise and timely estate documentation.

Key Responsibilities

Legal Document Preparation & Execution

  • Draft and review quitclaim deeds ensuring all property client and trust information is complete and correct.
  • Coordinate the signing and notarization of deeds with clients and internal teams.
  • Maintain up-to-date deed tracking logs and documentation within shared systems.
  • Review and verify all documents before submission to ensure compliance with county requirements.

Administrative Coordination & Record Management

  • Maintain detailed records of deed progress client correspondence and county communications.
  • Update internal systems to reflect the current status of filings and submissions.
  • Suggest process improvements to increase workflow efficiency and accuracy.

Collaboration & Communication

  • Work closely with the estate planning team to ensure alignment between deed processing and client service goals.
  • Communicate professionally with clients to provide updates clarify requirements and ensure transparency throughout the process.
  • Contact county offices directly as needed to confirm procedures or resolve discrepancies.

Qualifications

Required:

  • 3 years of experience in legal real estate or estate planning administration.
  • Strong knowledge of legal document preparation and attention to detail.
  • Understanding of county-level recording procedures and document compliance.
  • Proficiency in digital tools and document management systems (e.g. CRM Google Workspace or Microsoft Office).
  • Excellent written and verbal English communication skills.

Preferred:

  • Paralegal or Legal Assistant experience.
  • Familiarity with quitclaim deeds property titling or trust-related documentation.
  • Prior work supporting U.S.-based legal or estate planning teams.
  • Experience with workflow or client management systems.
