As the Client Service Associate you are the link between our advisors our clients and our existing operations team and will play a crucial part in servicing maintaining and enhancing the strong relationships built with our clients. Whether you are answering phones completing paperwork opening new accounts handling service requests scheduling meetings or preparing for them you approach each task with a client-first mindset and an unmatched level of accuracy and addition to having a strong working knowledge of industry software systems and processes you are exceptionally organized detail-oriented and committed to delivering a smooth confidence-inspiring experience with every client interaction. You are proactive naturally curious and take pride in your work. You are always striving to be better and do better consistently seeking ways to take tasks off the advisory teams plate so they can focus on financial planning meeting with clients and delivering value.
Responsibilities & Activities
- Greet clients and prospective clients in a friendly and sincere manner making them feel comfortable when they visit the office
- Act as first line of response for incoming calls generally handling 30-60 calls per day
- Record meeting notes on topics covered changes in clients needs and action items
- Summarize meeting and schedule action items in contact management software
- Conduct rollover calls
- Support client onboarding and new account processes
- Prepare and produce back-office support demands for basic client account requests
- Plan assist with and attend client events
- Place trades as needed to ensure alignment and execution of investment strategy
- Prepare annuity reviews as well as execute new annuity account openings
- Communicate and follow up regularly with clients about changes to their accounts
- Develop strong relationships and rapport with clients
- Handle calendars for multiple advisors scheduling and confirming appointments
- Adhere to all compliance/risk procedures follow corporate and industry protocols and protect the interest of the client and the firm at all times
- Stay current on industry developments; service and product enhancements; regulatory issues; and client needs
- Satisfy Continuing Education requirements for licenses and professional designations
- Perform general office functions like sorting mail ordering office supplies etc.
- Perform other duties as assigned
Knowledge Skills & Abilities
- High School Diploma or GED required; Bachelors degree highly preferred
- 3 years of financial services experience supporting one or more financial advisors highly preferred
- Industry-specific software/platform experience required; Osaic knowledge highly preferred
- Excellent attitude professional demeanor and an extraordinary client service orientation
- Superior phone skills friendly and helpful in all interactions on the phone
- Ability to prioritize and handle a variety of changing responsibilities and manage time-sensitive projects with specific attention to detail
- Excellent organizational and time management skills and ability to multi-task
- Ability to type 50 wpm required
