- Mondays to Fridays 9:00 am to 5:30 pm Central Time (Austin TX) with 30-minute unpaid break
About the Role:
We are seeking a highly organized and detail-oriented Finance and Admin Support Specialist to manage core financial and administrative functions while providing responsive support to customers and internal staff. This role requires a strong background in bookkeeping accounts receivable accounts payable HR support and payroll processing. The ideal candidate is proactive reliable and able to handle both financial tasks and communication-based responsibilities with professionalism.
Key Responsibilities:
Financial Management
- Maintain accurate bookkeeping records and reconcile accounts regularly
- Process accounts receivable: issue invoices track payments and follow up on outstanding balances
- Manage accounts payable: review vendor invoices schedule payments and maintain records
- Prepare basic financial reports and assist with month-end tasks
- Support payroll preparation and ensure all employee hours deductions and changes are accurate
- Assist with HR-related administrative tasks such as onboarding documents and employee record maintenance
Administrative & Support Tasks
- Respond to customer emails promptly and professionally
- Handle employee-related email inquiries and provide clear accurate information
- Maintain organized digital files documents and internal systems
- Assist with general operations and provide support to leadership as needed
Requirements
- Proven experience in bookkeeping AR AP payroll and HR administration
- Strong understanding of accounting principles and financial workflows
- Proficiency with accounting and payroll software (e.g. QuickBooks Xero Gusto etc.)
- Excellent written communication skills
- Strong attention to detail accuracy and organization
- Ability to work independently manage priorities and meet deadlines
- Customer service experience is an advantage
