Executive Assistant / Chief of Staff Support
Location: Remote (Preference: South Africa EST alignment)
Hours: 8:00 AM 5:00 PM EST
Salary: $2000 $3000/month (depending on experience)
About the Role
Our client is seeking a highly skilled Executive Assistant / Chief of Staff Support to provide direct support to the CEO while also driving operational execution and project management across the business.
This hybrid role blends high-level strategic support with day-to-day administrative excellence. You will manage critical functions such as executive communications calendar management and travel logistics while also leading cross-functional initiatives managing projects and ensuring seamless business operations.
The ideal candidate is proactive highly organized and tech-savvy with strong problem-solving skills and the ability to act as both a trusted advisor and a reliable operator.
Key Responsibilities
Executive Support (50%)
- Manage CEOs inbox calendar scheduling and travel arrangements.
- Prioritize communications draft responses and ensure timely follow-ups.
- Maintain confidentiality and discretion in all matters.
- Prepare briefing materials and ensure the CEO is fully prepared for meetings.
Operational & Project Management (50%)
- Lead and manage key projects ensuring tasks are delivered on time and aligned with strategic objectives.
- Leverage project management systems (e.g. ) to track workflows and coordinate with team members.
- Identify operational gaps propose solutions and support implementation.
- Work closely with leadership to ensure initiatives are executed effectively.
- Use AI and digital tools (e.g. Claude Perplexity ChatGPT) to streamline research reporting and workflow efficiency.
Qualifications & Skills
- Proven experience as an Executive Assistant Chief of Staff or Operations Manager supporting senior leadership.
- Strong project management and organizational skills with the ability to manage multiple priorities.
- Exceptional written and verbal communication skills in English with a clear and professional accent.
- High degree of discretion judgment and emotional intelligence.
- Advanced proficiency in productivity tools (Google Suite Microsoft Office CRM/project management platforms).
- Tech-savvy and comfortable learning new digital tools including AI platforms.
- Ability to work U.S. Eastern Time Zone hours (8am5pm EST).
