About the Role

Stouffer Legal is hiring a Client Services Coordinator for our Naples office. This is a phone-heavy back office role focused on delivering a five-star client experience over the phone while keeping our systems organized behind the scenes. You will handle high call volumes scheduling and CRM updates prepare materials for attorney meetings and keep documentation accurate. You will also back up the Front Office Coordinator as needed for in-person coverage and client addition this position facilitates one weekly evening educational workshop. You will help set up the space welcome attendees support the presenting attorney and make sure the session runs smoothly.

Key Responsibilities:

Phone Support (Primary)

  • Answer and make 30-40 client calls per day with a warm professional tone
  • Route calls document interactions and create follow-up tickets as needed
  • Schedule confirm and reschedule client appointments
  • Handle call overflow and voicemail follow up

Back Office and Administrative

  • Scan print and manage client files in the CRM with a focus on accuracy and confidentiality
  • Prepare materials and provide in-meeting support for attorneys (documents packets refreshments)
  • Process payments and maintain organized records

Client Hospitality and Front Desk Backup

  • Provide backup coverage for the Front Office Coordinator in the Naples office
  • Greet and seat clients; offer refreshments and set a professional welcoming tone
  • Sanitize conference rooms and tidy shared spaces between meetings

Workshop Facilitation (Weekly Evening Event)

  • Prepare workshop space and materials and manage attendee check-in
  • Welcome attendees and provide clear friendly guidance
  • Support the presenting attorney with logistics during the session
  • Coordinate follow-up tasks after the workshop (e.g. scheduling notes)

Tools & Systems Youll Use

CRM software Microsoft Teams Outlook scanners/printers RingCentral

Schedule

  • Monday - Friday 8:30 AM - 5:30 PM
  • Plus one evening per week for the educational workshop

Compensation & Benefits

  • Salary range $48000.00 - $56000.00 based on experience
  • Performance based bonus structure
  • Paid twice monthly (7th and 21st)
