Were seeking a proactive and detail-oriented receptionist to help drive the success of our NYC corporate office. The Receptionist is the first point of contact for visitors and callers responsible for creating a welcoming environment and providing administrative support to ensure efficient office this role youll be the central force behind a welcoming workplace ensuring day-to-day operations run smoothly.
RESPONSIBILITIES
Manage the day-to-day operations of our 2 floor NYC office to ensure a clean comfortable and inviting workspace.
Act as the first point of contact to observe and troubleshoot facilities-related issues
Track and manage office-related budgets orders and inventory
Greet and assist visitors in a professional and friendly manner.
Answer screen and route incoming phone calls promptly and courteously.
Maintain a clean and organized front desk and reception area.
Manage incoming and outgoing mail packages and deliveries.
Schedule and confirm appointments meetings and conference room bookings.
Maintain visitor logs and issue security badges as required.
Manage conference room bookings and general office scheduling
Assist with administrative tasks such as filing data entry and document preparation.
Assist with office engagement activities such as lunches and special events
Monitor and order office supplies to ensure adequate inventory.
Coordinate with internal departments to support daily operations.
Relocation support including sourcing and reserving housing (temporary and long term) for employees who relocate
Book travel for larger meetings and events
Maintain conference rooms and shared spaces such as supply closet and kitchens.
Uphold confidentiality and comply with company policies and procedures.
Assist with special projects and administrative tasks as neede
Qualifications :
QUALIFICATIONS
Detail-oriented organized and demonstrated ability to manage multiple priorities
Proficiency in Microsoft Office strong knowledge of Excel
Proactive with a strong sense of urgency
Experience in office management employee experience operations or related roles
A genuine passion for creating great workplace experiences
Strong communication and interpersonal skills
Available to work onsite from our NYC office
Previous experience working with SAP Concur or other travel system
Experience with corporate relocation preferred
0-3 years experience in an office support role
Must be able to lift 25 pounds
Must be able to lift and bend to restock pantries and supply room.
Must be able to be on your feet throughout the day walking around two floors to ensure the space is clean and tidy and comfortable.
Bilingual in English and Spanish preferred
The houely compensation for this role ia $20-$24 per hour
