Based out of our Head Office in Sherwood Park the Sales Administrative Lead reports directly to the Sales Manager and is responsible for supporting and assisting the Sales Department including rates customer relationship management administrative duties and the maintenance and administration of third-party compliance programs. Additionally this role will assist the Accounting Department and customers with invoicing discrepancies credit applications and required reporting.

This role will be an excellent fit for an experienced sales administrator with expertise in the transportation industry and is familiar with rates and contracts.

Job Duties

Administrative Responsibilities:

  • Receive and review sales & customer service requests.
  • Administer systemic updates for customer pricing.
  • Update internal & external stakeholders of monthly/weekly fuel surcharges.
  • Develop & maintain written procedures to support customer driven processes.

Customer Relationship Management Responsibilities:

  • Develop & maintain strong working relationships with internal and external customers.
  • Manage customer interactions and communications.
  • Analyze customer data.
  • Support account managers with customer requests & KPI reporting.
  • Participate in customer dispute resolution process.

Contract Management

  • Monitor contracts and move forward with extension close-out or renewal of contracts.
  • Ensure contract details align with corporate guidelines policies objectives and goals.
  • Draft and submit responses to contracts negotiations and proposals
  • Recommend improvements to existing company contract policies to ensure compliance and reduce any potential risks.

Customer Compliance

  • Set and measure customer/contract management KPIs; develop and prepare customer KPI reports.
  • Coordinate carrier approval & onboarding requests; provide updated compliance documentation as required.
  • Maintain compliance on 3rd party platforms (ISNetWorld Avetta ComplyWorks etc.).
  • Communicate compliance requirements with internal Stakeholders.
  • Request manage and store Certificates of Insurance; coordinate insurance renewals between all Caron partners
  • Lead customer audit process (preparation submission review communication execution follow up closure)

Customer Rates & Pricing Agreements

  • Maintain all customer freight rates and pricing agreements
  • Review and update all customer pricing schedules annually and/or as needed.
  • Prepare revenue reports and pricing analysis.
