Tallaght University Hospital (TUH) is a model 4 voluntary academic teaching hospital partnered with Trinity College and situated in south west Dublin. With a staff of over 4000 people from 63 differentcountries it provides both acute and tertiary care to an increasing population of circa 800000 people and is a provider of local regional and national specialties. It is also a National Urology Centre the second largest provider of dialysis services in the country Pelvic and Acetabulum National Centre and a designated Trauma Unit.

The Hospital is part of the newly established HSE Dublin & Midlands Region which serves a population of over 1.2 million across seven counties and operates under the governance of an independent Board of Directors who give their time on a voluntary basis. TUH is also supported by the Adelaide Health Foundation the Meath Foundation and Tallaght University Hospital Foundation.

This is an exciting time to be working in healthcare innovation as technology continues to evolve new digital tools and innovations will address some of the most pressing challenges in global healthcare 2022 TUH established the first pan hospital designated Innovation office on the island of Ireland- Innovate Health @ TUH (insert website). Since that time we have grown in scale. Our Research and Innovation Strategy 2024-2029 ( insert link) outlines our vision and ambition with the new capital build of a dedicated innovation unit on campus. Innovation projects in the Innovate Health pipeline span across all areas. We are now expanding our team and seeking an Administrative Office who will support the running of the Innovation Office

purpose of the role:
The Healthcare Innovation Administrative Officer Grade V plays a critical role in supporting the implementation and management of healthcare innovation projects programs and strategies. This position provides administrative support to ensure the efficient operation of healthcare innovation initiatives including implementation of cutting-edge healthcare solutions. The Administrative Officer will be responsible for ensuring the smooth running of the administrative duties of the Innovation Office and to delegate and assign work as appropriate. overview of role:
Key Duties and Responsibilities
  • Participate in all key functions of the everyday running of the office
  • Organize and/or attend meetings working groups committees events as required relevant to the department
  • Preparing reports handling correspondence and managing records on the Innovation platform for ongoing projects.
  • Serve as a point of contact for internal and external stakeholders involved in innovation initiatives. Coordinate communications between teams partners vendors and healthcare professionals.
  • Ensure that the innovation project resources (budget personnel materials) are effectively managed and assist the team in procurement financial and engineering requirements for new healthcare technologies or services.
  • Support to hospital departments with regard to ordering equipment for innovation projects and liaising with finance on the budgetary requirements
  • Support the office communication and dissemination requirements e.g. website management and liaising with the Hospitals Communications Department
  • Assist the team in data collection and analysis to evaluate the success of innovation projects
  • Demonstrate problem solving decision making planning and organization skills
  • Demonstrate an ability to prioritize work while responding with flexibility to rapidly changing priorities
  • Demonstrable capacity for responsibility and initiative
  • Have the ability to work unsupervised and to use initiative when necessary to deal with conflicting priorities calmly and effectively
  • Disseminate relevant information to staff and provide opportunity for feedback from all members of the team in relation to the service
  • Strong organizational and time-management skills with attention to detail.
  • Excellent written and verbal communication skills
  • Carry out any other duties which may be assigned from time to time
  • Demonstrate the ability to maintain and develop working relationships within the department and with other key stakeholders

General accountability:
  • Commitment to continuous professional development including completion of relevant internal training programmes available through our Centre for Learning & Development Prospectus.

Leadership and staff management:
  • Completion of relevant training and availing of supports in the Leadership Academy including coaching mentoring and leadership development as applicable.
Qualifications & Experience required
Must have:
  • Have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher ordinary applied or vocational programmes) or equivalent
or
  • Have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher i.e. Fetac Level 5
or
  • Have satisfactory relevant experience which encompasses demonstrable equivalent skills
and
  • 3 years relevant administration experience.
  • Practical experience of use of computer packages to include Microsoft Office i.e. Word Excel Outlook PowerPoint and other related packages
  • Fluent command and understanding of the English language to include spoken and written word
  • Suitable supervisory experience
  • Willing to undertake internal supervisory/management course within the first 12 months of being appointed to the role.
  • Supervisory duties must be evident within your CV to be shortlisted.

Desirable:
  • 3rd level qualification equivalent to Fetac level 6
  • Administration experience in a Healthcare environment.
  • Knowledge of healthcare innovation
Reward & Recognition
  • Remuneration is in accordance with the Department of Health Consolidated Salary Scales 1st August 2025.

  • The appointment is whole time temporary and pensionable
  • The annual leave entitlement is 29 working days per year. The leave year runs from 1st April to the 31st of March each year
  • Normal working hours are 35 worked over 5 days. Your contracted hours of work are liable to change between the hours of 8 am to 8 pm over 7 days to meet the requirements for extended day services in accordance with the terms of the Framework Agreement
