Part-Time Hours:
Monday: 8:30am 5:30pm
Tuesday Thursday: 8:30am 2:00pm
Friday: 8:30am 5:00pm
Your Opportunity:
Front Desk & Visitor Management
- Greet welcome and assist all visitors clients and staff in a professional and friendly manner.
- Manage visitor sign-ins and ensure compliance with security procedures.
- Coordinate meeting room bookings set-ups and resets maintaining a tidy and functional environment at all times.
- Handle incoming phone calls and office email enquiries directing them appropriately.
Office & Facilities Coordination
- Oversee the general organisation and presentation of the office ensuring communal spaces are kept clean stocked and functioning smoothly.
- Manage kitchen supplies snacks fridges and coffee machines including ordering and restocking.
- Coordinate mail and courier services including Australia Post DHL and other delivery providers.
- Assist with catering orders for internal meetings events and training sessions.
- Conduct daily walk-throughs to identify any facilities issues and liaise with building management or service providers as required.
- Assist with setting up audio-visual equipment for meetings and presentations.
Staff Support & Onboarding
- Conduct office tours for new starters and assist with their onboarding experience.
- Prepare desk set-ups and other onboarding essentials
- Ensure staff birthdays anniversaries milestones and celebrations are acknowledged and coordinated.
Administration & General Support
- Maintain office inventory stationery and supplies.
- Assist with printing binding and formatting tasks as needed.
- Support People & Culture and other departments with ad hoc administrative tasks.
- Assist in organising internal events morning teas and staff engagement activities.
Other Responsibilities:
- Send any DHL shipments.
- Monitor and manage the travel inbox.
- Assist with reconciling company credit cards ensuring accurate records and timely submission of expenses
- Provide support wherever the team or department requires assistance.
We are looking for the below skillset and experience:
- Excellent communication and interpersonal skills.
- Highly organised with strong attention to detail.
- Ability to manage multiple tasks and prioritise effectively.
- Strong sense of professionalism confidentiality and customer service.
- Proficiency in Microsoft Office and general office equipment.
- Positive can-do attitude with a willingness to help wherever needed.
Requirements
- Previous reception or office coordination experience preferred.
- Ability to maintain a polished and welcoming front-of-house environment.
- Comfortable working independently in a fast-paced dynamic office setting.
