Summary
This position requires a strong working knowledge of clerical procedures. The individual has daily contact with the public and is responsible for processing daily reports as assigned by staff supervisor responsible for processing and submitting monthly and yearly reports to state and federal agencies.
Essential Duties and Responsibilities
To perform this job successfully an individual must be able to perform each essential duty satisfactorily. Duties include the following:
- Assists in the processing maintaining and tracking of offense incident and arrest reports entering all information into the computer which includes reporting officers report supplements written by assisting officers voluntary statements incident information which is taken from original offense report cover sheet. This includes victim/complainant information suspect information witness information vehicle information and property whether it is stolen damaged found etc. offense and UCR codes filling out Family Violence reports for UCR purposes and updating files when necessary and eventual filing of same.
- Also entails the preparation submission of reports to the D.A.s Office Juvenile and Adult Probation insurance companies and the public. Submission of assorted State forms to DPS notices of crimes committed to school districts all reported within a reasonable deadline.
- Answer phones and processes calls in a professional and timely manner obtaining pertinent information for recording phone messages and schedules appointments for interviews and for sex offender registration.
- Prepares memos letters and other miscellaneous reports upon request of the CID Captain and CID/CRT Sergeant(s).
- Responsible for the processing auctioning and disposal of vehicles abandoned in the county.
- Prepare monthly Validation Report for Dispatch Supervisor requiring the research of old and new report files for information on stolen property lost property and missing persons. Send out letters to the victim/complainant requesting that they contact the Sheriffs Office if there has been a status change in reference to the particular case and updating the computer files and case files with all new information. All performed under state mandated requirements.
- Responsible for processing maintaining and recovering all data involving racial profiling as mandated by the State and Federal Governments.
- Prepares and submits the monthly UCR report.
- Receives and directs visitors to CID/CRT.
- Occasionally assigns work and directs civilian Interns.
- Sensitive information and materials are processed in CID on a daily basis and must be kept confidential.
- Operates office equipment including computer TLETS printer typewriter and copier fax machine adding machine and shredder.
- Keeps working environment clean.
- Assist victims of violent crimes by providing Crime Victims applications and information and at time consoling and/or advising.
- Responsible for the filing of all written reports or other generated documents and files. Keeps files in accordance with retention schedule and removes files when required. This includes but not limited to the expunction of records or the sealing of sensitive juvenile records.
- Responsible for all video disks submitted by deputies this includes in-car camera videos crime scene videos/photos and any other relevant CD or DVD media submitted. Makes copies as requested by deputies detectives and open records to include media requests prosecutors and the courts.
- Attendance is an essential function of the job.

Mandatory Qualifications
EDUCATION and/or EXPERIENCE
A high school diploma or GED equivalent required; must possess computer skills and at least two (2) years of experience in clerical operations is required with typing skills of 55 wpm.

LANGUAGE SKILLS
Ability to read and comprehend simple instructions short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers clients and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals.
REASONING ABILITY
Ability to apply common sense understanding to carry out details but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
