Reports to: Senior Operations Manager
Contract Duration: 3 Months
Role Overview:
Support the Operations team in planning and executing physical digital and hybrid events throughout the year including providing onsite assistance during events.
Key Responsibilities:
Event Planning & Coordination
- Maintain communication with suppliers venues and show teams
- Create exhibitor manuals and coordinate with Customer Service on newsletters
- Manage logistics for equipment pre-show preparations and onsite welfare
- Develop staff briefings exhibitor lists floor plans and safety documentation
Administrative & Digital Support
- Support Digital Operations with webinars and virtual events
- Process purchase orders track budgets and update invoice records
- Assist with post-event analysis and reporting
- Address operational queries from exhibitors and internal teams
- Coordinate team travel meetings and training sessions
Qualifications :
Essential Skills
- Proactive mindset with strong organizational abilities
- Excellent time management and prioritization skills
- Proficient in Microsoft Office suite
- Strong written and verbal communication skills
- Ability to remain calm under pressure
- Meticulous attention to detail
- Willingness to travel to events
Experience
- 1 year in Operations within event management
- Knowledge of exhibition industry and venues
- Flexibility to work extended hours during events
- Advantageous: Experience with digital event platforms (Swapcard On24 Teams Live Zoom)
