Position: Administrative Assistant
Working Hours: Full-Time Monday to Friday 9:00 am - 6:00 pm EST (Flexible)
Search Location: $can be $1500 (based on experience and the clients final offer)
Salary: Remote - Philippines / South Africa
: The Final Salary Offer depends on the clients decision interview results and experience
About the Role:
We are seeking a full-time Administrative Assistant to join our dynamic support team. These individuals will play a critical role in maintaining smooth day-to-day operations and delivering excellent customer service to players parents and staff.
As a representative you will be expected to display professionalism friendliness and responsiveness at all times with strong attention to detail and a proactive approach to problem-solving.
Role Responsibilities:
Customer Support & Communication (Priority)
- Respond promptly to customer emails and phone calls in accordance with the companys communication standards
- Ensure all calls from 9 AM5 PM ET are answered or returned the same day
- Address parent/player inquiries with patience clarity and professionalism
- Alert staff when negative reviews are received and follow proper procedures
Administrative & Operational Tasks
- Create and manage events using League Apps
- Maintain team rosters and event schedules using Airtable
- Export email lists and manage communication templates
- Coordinate shipping of items and request Certificates of Insurance (COIs)
- Prepare check-in sheets for events and send to event directors in advance
- Take meeting notes and distribute summaries to relevant team members
- Assist other staff with administrative overflow as needed
Financial Follow-ups
- Email and call parents with delinquent payments
- Update directors on outstanding balances
Calendar & Attendance Management
- Keep availability up to date on the Out of Office calendar
- Ensure all duties are delegated or completed during time off
- Turn on vacation responders when away
Event Support (As Needed)
- Provide on-ground or virtual support for tryouts and other key company events
- Stay available during holidays or weekend events for urgent parent inquiries
