Job Summary

Overview

Incumbents in the Coordinator series perform a combination of program-related and/or administrative functions to support community social and instructional programs; and/or coordinate people events or facilities.

Responsibilities

  • Serve as receptionist for the USU Ephraim Center which includes proper courteous phone etiquette and greeting the public in a friendly professional manner.
  • Assist with hiring and onboarding new classroom facilitators.
  • Provide facilitator training on:
    • Facilitating Connect classes
    • Proctoring tests
    • Finding/learning applicable policies
    • Completing day to day operations of the center.
  • Prepare monthly facilitator schedule.
  • Maintain a daily log of education-related contacts via phone and in person.
  • Schedule classes and meetings in classrooms accurately and in a timely manner according to current enrollment reports. Update scheduling changes with the Scheduling in Logan.
  • Prepare class rolls each semester.
  • Be familiar with student-related policies to be able to answer basic questions.
  • Assist with marketing strategies where appropriate.
  • Facilitate classes including checking in and getting classes started promptly and maintaining class rolls accurately.
  • Have the ability to troubleshoot equipment malfunctions and know appropriate people to call for help.
  • Know how to dial in to a Zoom class when it doesnt come up automatically.
  • Be proficient in using Slack to communicate quickly and effectively about classes.
  • Manage testing center including:
    • Training new staff on test proctoring
    • Keeping proctoring instruction sheets current for other staff including pesticide test food safety managers test Prov tests and other non-USU tests.
    • Following instructions in MATS or instruction sheets proctor exams and quizzes ensuring student honesty and integrity.
  • Act as liaison between students instructors and university administrators.
  • Access Southwest page weekly to be aware of posts and important information for students.
  • Collect information verify and keep up-to-date records of inventory for the eleven centers in the Southwest Region.
  • Complete desktop deposits within three days when checks are received as payment for test proctoring. Then will email the deposit documents to the business assistant for the Wasatch and Central/Southwest Regions.
  • Coordinate with other schedulers and assist in class scheduling for the Central/Southwest Region each semester by:
    • Assisting DOSS with enrollment issues and corrections as needed.
    • Changing courses that are approved to be offered in the Central/Southwest Region from Reserved to Pending in SSASECT.
    • Add Central/Southwest classrooms for all Zoom classes into SSASECT.
  • Play a key role in preparing for and assisting during Central/Southwest graduation to include:
    • Helping to double check graduation list for accuracy.
    • Ensuring we have all of the essential regalia i.e. gowns hoods caps tassels and honors cords and assembling all regalia for ease of pick up by graduates.
    • Notifying the business assistant of what items need to be ordered.
    • Handing out regalia to graduates at graduation.
    • Assisting with other tasks as needed.
  • Perform miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications

  • Good Communication and organizational skills.
  • Basic knowledge of computers with experience in Microsoft Office Word Excel and Outlook.
  • Willingness to learn simple technology skills.
  • Dependability and ability to work independently.
  • Good leadership skills.
  • Integrity and ability to maintain student confidentiality.

Preferred Qualifications

  • An Associate Degree or successful completion of some college classes.
  • Two years of proven successful work experience.
