Schedule:
Full-time: 40 hours per week
Flexible between MonFri 8:00 AM7:00 PM AEST (1-hour unpaid break)
Client Timezone: Australian Eastern Time (Melbourne)
Responsibilities:
- Handle incoming phone calls for appointment bookings across three different clinic locations
- Manage appointment rescheduling and cancellations for sports doctors physiotherapists and podiatrists
- Conduct appointment confirmation calls to reduce no-shows
- Provide initial intake support and basic information to patients
- Transfer complex inquiries to the Australian front desk team during business hours
- Handle patient complaints following established scripts and escalation procedures
- Maintain accurate appointment records across different clinic systems
- Communicate professionally with patients while managing high call volumes
Requirements
- Excellent English communication skills with a clear phone manner
- Strong customer service background with healthcare experience
- Ability to think critically and make appropriate decisions about call routing
- Attention to detail for managing appointments across multiple clinic locations
- Professional demeanor when handling patient complaints and sensitive situations
- Ability to learn and follow different procedures for each clinic location
- Comfortable working with appointment booking systems and basic CRM tools
Scope:
- Full-time position (40 hours per week) or part-time option (20 hours minimum)
- Supporting three separate clinic locations with different pricing and procedures
- Primary focus on appointment management rather than clinical or medical advice
- Work closely with Australian front desk teams for seamless patient experience
- Handle high volume of calls during peak booking periods
