Job Summary

This is a remote position.

Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.

Responsibilities
  1. Process and input work orders into Simpro accurately.

  2. Generate send and track client invoices through Simpro.

  3. Manage material ordering and procurement for job sites.

  4. Prepare and submit initial and final job documentation to relevant providers.

  5. Perform data entry and basic reconciliation tasks in Xero.

  6. Develop and manage job schedules using Asana and optimize Simpros scheduling features.

  7. Communicate schedules updates and changes to all site personnel.

  8. Prepare job-related materials including annotated drawings for tradesmen.

  9. Manage and prioritize communications from the main business email inbox.

  10. Liaise with clients regarding job status inquiries and documentation requirements.

  11. Support owner in outreach to prospective clients for business growth.

  12. Identify and implement underutilized Simpro features to improve efficiency.

  13. Ensure seamless data flow between Simpro and Xero for accurate financial tracking.

  14. Generate regular operational and financial reports from Simpro and Xero.


Requirements
  1. Proven experience in administration operations or coordination preferably in trades construction or electrical industry.

  2. High proficiency with Simpro including invoicing pre-builds and work order management.

  3. Solid experience with Xero for data entry and basic reconciliation.

  4. Familiarity with project management and scheduling tools like Asana.

  5. Exceptional organizational skills and attention to detail.

  6. Strong written and verbal communication skills for liaison with team clients and suppliers.

  7. Ability to work independently prioritize tasks and manage multiple workflows.

  8. Proactive problem-solving skills and process improvement mindset.

  9. Comfortable learning new software features integrations and digital tools.

  10. Commitment to supporting a positive work-life balance for the team.
